Job Context:
∎ The CEO of a Group of Companies is looking for an expert Executive Assistant/Personal Secretary to assist him with daily work processes and schedules. The PS to the CEO will be required to provide high level of support and also be responsible for carrying out a range of duties to help streamline the CEO`s daily tasks and ensure his time is utilized efficiently by effectively managing his schedule, tasks and requirements.
∎ The ideal candidate for this position will excel if they can keep their calm in a high pressure environment coordinating the schedule, logistics and administrative tasks etc of the CEO of the company. The candidate should have relevant experience to the role that highlights their capability to conduct all administrative work, making sure the CEO`s operations run smoothly.
Job Responsibilities:
∎ Assist the CEO with daily administrative duties and complete a broad variety of administrative tasks.
∎ Schedule and organize weekly and monthly meetings, annual conferences and team events, wing-wise meetings & take meeting minutes.
∎ Provide all kinds of secretarial support such as conducting extensive market research, project management, preparing reports and presentations for meetings.
∎ Provide necessary assistance in taking initiatives of new business ventures.
∎ Perform QA, QC and checks as directed by the CEO
∎ Plan and coordinate the CEO’s daily calendar to ensure his schedule is followed and respected.
∎ Maintaining the CEO's agenda and & assist in planning all pre-scheduled appointments.
∎ Keep extensive and immaculate records of documents & maintain a proper filing system with reference notes for efficient and easy archiving and perusal.
∎ Organize travel arrangements for CEO (Visa processing, travel planning, booking airlines & accommodation etc.)
∎ Maintain daily cashbook of CEO.
∎ Handle confidential & sensitive documents, information etc with utmost care and discretion.
∎ Screening telephone calls, taking messages and responding to queries on behalf of the CEO as required.
∎ Conserve the chief executive's time by reading, researching, and routing correspondence, drafting letters and documents, collecting, and analyzing information, and initiating telecommunications as required.
∎ Follow-up actions on behalf of the CEO regarding pending important issues.
∎ Any other assignments and/or tasks entrusted by the CEO.
Additional Requirements:
∎ Age 25 to 35 years
∎ Proficient in all Microsoft Office applications.
∎ The ability to multitask and work under pressure.
∎ Exemplary planning and organizational skills.
∎ Excellent time management ability and a structured approach to work.
∎ Excellent verbal and written communication skills in English (MUST HAVE)
∎ Must follow directives and maintain utmost confidentiality.
∎ The flexibility to work additional hours outside of regular work hours to fulfill the role's requirements and meet the business needs.
∎ Energetic, creative, sincere and honest.
∎ Strong interpersonal skills
∎ Ability to work independently and under time constraints.
∎ Take responsibility & and ownership of work with a high level of integrity.
∎ The ability to travel locally and internationally for work will be advantageous
Salary:
∎ Tk. 40000 - 60000 (Monthly)
∎ (Negotiable within this range subject to experience and aptitude)

∎ Office schedule - 6 days per week (Friday's off); 10am to 7pm
