·Strong internet browsing and online research capabilities.

·Ability to manage office documentation, data entry, and digital communication efficiently.

·Familiar with modern office technology, software applications, and internet-based tools.

·Capable of handling multitasking responsibilities with strong organizational and technical skills



Responsibilities & Context:

1. Administrative Responsibilities

  • Office Administration: Oversee daily office operations, maintain office decorum, and ensure a smooth working environment for both corporate staff and field-level security personnel.

  • Logistics & Asset Management: Manage company assets, including office equipment, communication devices, vehicles, and security gear (uniforms, batons, torches, etc.). Supervise procurement and inventory distribution.

  • Vendor & Facility Management: Handle relationships with vendors, landlords, and service providers. Ensure timely maintenance of the office premises and utility management.

  • Compliance & Legal Affairs: Ensure the company complies with local labor laws, security service regulations, and licensing requirements (e.g., renewed fire license, trade license, and security agency permits).

  • HR Support: Assist the HR department in managing guard deployment, tracking attendance, handling disciplinary issues, and coordinating staff welfare activities.

Tender Preparation and Submission:

  • Prepare, review, and submit tenders, bids, and proposals in response to client requirements and public procurement notices.

  • Coordinate with internal departments (finance, operations, legal, technical) to collect relevant documents and ensure compliance with tender specifications.

  • Conduct market research and competitive analysis to develop competitive and profitable bids.

  • Maintain records of ongoing tenders, bid statuses, and contract documentation for reporting to management.

  • Assist in contract negotiations and clarify technical or commercial queries with clients or authorities.

  • Monitor deadlines, submissions, and follow-ups to maximize the success rate of bids.

  • Prepared detailed cost estimates, pricing sheets, and supporting documentation for proposals.

2. Financial & Accounting Responsibilities

  • Billing & Invoicing: Oversee the timely generation and dispatch of accurate monthly bills to clients (corporate offices, residential complexes, banks, etc.).

  • Fund Collection & Receivable Management: Follow up actively with clients for outstanding payments to maintain a healthy company cash flow.

  • Payroll Processing: Supervise the calculation and disbursement of monthly salaries, overtime, and bonuses for both office staff and a large pool of security guards.

  • Budgeting & Cost Control: Assist senior management in preparing annual budgets, monitoring expenses, and implementing cost-cutting measures without compromising service quality.

  • Taxation & VAT Compliance: Ensure proper deduction and timely deposit of TDS (Tax Deducted at Source) and VDS (VAT Deducted at Source) as per government regulations.

  • Financial Reporting: Prepare monthly, quarterly, and annual financial statements, cash flow reports, and expense analysis for management.

  • Audit Coordination: Coordinate with internal and external auditors to ensure transparent financial practices and smooth audit completion.
