Responsibilities & Context:
Key Responsibilities
A. Branch & Operational Audit
Conduct periodic and surprise audits of CPF branches covering production, operations, sales, administration, inventory and documentation.
Verify key branch performance data including DOC placement, mortality, FCR, body weight, EEF, farm grades, production cost, bird lifting and sales against supporting records.
Cross-check branch reports with farm-level records and physical conditions to identify discrepancies, reporting gaps or irregularities.
Verify implementation of management instructions, approved policies and operational procedures and follow up on previous audit observations.
B. Farm Audit & Physical Verification
Conduct regular and surprise physical audits of contract and rental farms.
Verify bird population, mortality, feed consumption, medicine/vaccine usage, body weight and farm records against reported figures.
Assess farm management practices including brooding, feeding, watering, litter, ventilation, biosecurity, vaccination and seasonal management.
Verify Field Executive farm visits and effectiveness of technical supervision.
Identify high-mortality, high-FCR and E/F Grade farms and investigate operational or management causes.
Verify rental farm existence, capacity, utilization and compliance with approved arrangements.
C. Accounts & Financial Audit
Audit petty cash, operational expenses, farmer payments, trader/customer collections and other branch financial transactions.
Verify vouchers, bills, approvals and supporting documents against company policies and approved budgets.
Verify cash balances, farmer/trader ledgers, outstanding amounts and payment/collection records wherever applicable.
Identify unauthorized expenditure, duplicate/unsupported claims, abnormal transactions or other financial irregularities.
Immediately report suspected fraud, misappropriation, manipulation or serious financial irregularities to management.
D. Inventory & Stock Audit
Physically verify vaccines, medicines, disinfectants, equipment and other consumables against stock/system records.
Verify stock receipt, issue, transfer, consumption, return, damage and expiry records.
Ensure FIFO/FEFO, proper storage, cold-chain and inventory hygiene compliance.
Investigate abnormal consumption, shortages/excesses, expired products and unexplained stock variances.
E. Survey, Market and Industry Analysis
Farm Survey: Conduct surveys of existing and potential farms to assess farm capacity, infrastructure, production capability, management practices, geographical suitability, and opportunities for CPF expansion.
Area Survey: Conduct area-based surveys to identify suitable locations for farm expansion, rental farms, production growth, infrastructure availability, transportation facilities, biosecurity risks, and overall operational potential.
Market Survey: Conduct market surveys to analyze poultry demand, market prices, competitor activities, trader/customer potential, sales opportunities, consumption patterns, and new market expansion possibilities.
Record significant SOP deviations with supporting evidence and recommend appropriate Corrective and Preventive Actions (CAPA).
Follow up with responsible personnel until major audit observations and SOP deviations are satisfactorily closed.
F. Sales, Bird Lifting & Documentation Audit
Verify bird lifting and sales records including quantity, weight, rate, trader/customer details and delivery documents.
Cross-check sales rates against approved/RO rates and investigate abnormal rate, weight or mortality variations.
Review trader/customer outstanding balances, collections and adherence to approved payment terms.
Verify completeness and accuracy of farmer agreements, flock records, vaccination records, stock registers, sales records and expense documents.
Cross-check physical records, MIS/system data and actual field conditions for consistency and accuracy.
G. Audit Reporting & Corrective Action
Prepare structured branch and farm audit reports highlighting observations, financial implications, SOP deviations, risks and recommended corrective actions.
Categorize significant observations such as Critical, Major or Minor based on operational, financial and compliance risk.
Discuss findings with concerned Branch Managers/Branch Coordinators and submit significant observations to Director – CPF / GM – CPF.
Maintain an Audit Observation & CAPA Tracker with responsible person, target completion date and closure status.
Conduct follow-up verification to ensure corrective actions are effectively implemented.
