Responsibilities & Context:
∎ Responsible for supervision, monitoring, and control over all activities of the Spare Parts Section.
∎ Managing overall spare parts warehouse operations smoothly and efficiently.
∎ Identify loopholes and weaknesses and plan accordingly.
∎ Develop rules, policies & procedures for the spare parts warehouse and inventory management.
∎ Work closely with other sub-units of the Group to develop policies and systems.
∎ Preparing budgets for all units under his supervision, analyzing the variance, and ensuring control.
∎ Preparing the strategic plan for the section and achieving the Company’s sales target.
∎ Act to achieve the overall sales target of spare parts.
∎ Identify loopholes and weaknesses in spare parts sales and store management system and assist in developing effective Standard Operating Procedures.
∎ Submit timely requisition for spare parts as per demand and submit it through the Commercial / Administrative Officer of Service to make necessary arrangements for procurement from overseas or local markets.
∎ Monitoring issuing GRNs and arrangement of keeping parts in store in a systematic manner.
∎ Ensure checking up on the delivery of parts to the workshop, Dealers, and Customers in cash/free issue.
∎ Supervised the Supply Chain Management and distribution of all spare parts of the workshop, dealers, and customers in cash/free/credit, etc. after maintaining all formalities.
∎ Check and verify daily/weekly/monthly summary statements of spare parts and submit them to the management.
∎ Reconcile the sales and Issue of the parts with party ledgers and Accounts.
∎ Take steps to protect against the theft and pilferage of spare parts, stocks, and stores.
∎ Monitor the subordinates to ensure the duties and responsibilities according to the Company’s set rules and policies.
∎ Check and approve all the bills of the section as per the policies of the warehouse.
∎ Organize training for subordinates of the Section.
∎ To ensure the safety and security of the Key, stock and stores, registers, and documents.
∎ Ensure that stock received and issued are properly posted in the software.
∎ Produce daily Inventory and sales reports and submit them.
∎ Check and approve all parts issued with the invoice and if find any irregularities take remedial action.
∎ Coordinate the requisition, approval, sales, and delivery of parts related to the daily operation of the Company.
∎ Develop all papers & formalities to maintain the Inventory Management System of the Company.
∎ Ensures maintenance of minimum order level and takes remedial action accordingly.
∎ Ensures weekly and monthly physical inventory and takes remedial action if any irregularities.
∎ Prepare and produce necessary reports to the supervisor from time to time
