Job Context:

Job Responsibilities:
∎ Manage and provide technical supports for Archiving procedures and facilities.
∎ Provide administrative support functions for General Administration, Fleet.
∎ Maintain Central document record for the National Office, Regional Offices, Area Programme Office, Area Programme Cluster Offices and Special Projects.
∎ Ensure all administrative payments against various service contracts in timely manner, monitor and report accordingly.
∎ Ensure cost sharing with appropriate charging code to various department as per approved allocation.
∎ Ensure and maintain systematic record archiving facilities at National Office, Regional Offices, Area Programme Office, Area Programme Cluster Offices and Special Projects.
∎ Communication & coordination with related service providers regarding storage/archiving and retrieval.
∎ Maintain and ensure documents disposal procedures in coordination with respective departments.
∎ Raise purchase request (PR), Purchase Order (PO), Invoices and process payment in Provision system for Administration Department.

Additional Requirements:
∎ Age at least 25 years
∎ Back ground on archiving, library system and registration procedures, vendor relationship management.
∎ Strong interpersonal skills & customer service approach.
∎ Self-Motivated.
∎ Able to work without direct supervision.
∎ Computer literate with Excel, Word and Lotus Notes.
∎ Experienced in archiving and documentation registration.
∎ Analytical Skills.
∎ Minimum 1 year of experience in working with admin team.
