Job Responsibilities:
∎ Receive and direct visitors appropriately.
∎ Inform relevant colleagues for visitor arrival and arrange entertainment (ex. Tea/coffee etc.)
∎ Booking meeting room for colleagues, maintain the reports and sequences of meetings
∎ Sort/distribute incoming mails & parcels and prepare outgoing mails & parcels for pick-up, distribute or courier both incoming and outgoing Customs release and maintain data.
∎ Arrange and monitor maintenance for office equipment and supervise all activities related to working environment.
∎ Assist to organize meetings and activities, support all administrative function and proactive support to any situation
∎ Assist in the preparation of scheduled reports, support teams, align and implement smooth cooperation to all
∎ Provide general administrative support internally and externally, support to smooth logistics to all meeting rooms and events
∎ Execute the task assigned by Team Management.
∎ Follow-up office storeroom management in an organized way.
∎ Follow-up colleague’s weekly itinerary update & keep tracking local & guest colleagues visit for their security purpose.
∎ Follow up parcel clearing from custom.
∎ Control Buyer visiting schedule in BD. Logistic plan and implementing and supervising the support service team.
∎ Maintain all sort of records and its filling, Materials and store management, support to procure to delivery end report
∎ Actively coordinate for all maintenance work with vendors, look after vendors activities, timely supply of goods & materials, when necessary, for office premises.
∎ Arrange and monitor maintenance for office equipment and supervise all activities related to the working environment.
∎ Record staff's business trip, Travel related documents as per Company policy.
∎ Any other assignment by supervisor
Additional Requirements:
∎ Age at most 45 years
∎ Both males and females are allowed to apply
∎ Acting as a good team player and colleague according to BESTSELLER’s founding principles
∎ Strong communication and people skills
∎ Good organizational and multi-tasking abilities
∎ Have pro- activeness and positive attitude, Problem-solving skills
∎ Proficient in Microsoft Office (Excel, Word and PowerPoint)
