Responsibilities & Context:

Ø  Welcome and attend all guests, visitors and clients at the front desk so that all guests are received with courtesy and directed to the appropriate person or department.

Ø  Manage all incoming phone calls, emails and messages. Handle basic inquiries and ensure prompt and accurate communication within the organization.

Ø  Maintain an organized and professional reception area that reflects the company’s standards and culture.

Ø  Assist in planning and preparing the Group CEO & SBU Heads’ weekly and monthly schedules, including arranging meetings, calls and appointments.

Ø  Coordinate meeting logistics such as room bookings, refreshments and materials to ensure smooth execution of internal and external meetings.

Ø  Support the Deputy Manager-Admin in managing administrative activities, record keeping and office documentation.

Ø  Prepare letters, memos, reports and other correspondence as instructed, maintaining accuracy and confidentiality.

Ø  Track and manage the movement of incoming and outgoing documents, parcels and couriers. Ensuring timely delivery and acknowledgment.

Ø  Monitor and maintain office supplies, stationery and consumables. Prepare requisitions and follow up with vendors when needed.

Ø  Assist in organizing office events and staff activities, contributing to a positive workplace environment.

Ø  Maintain and manage petty cash transactions, ensuring proper documentation, reconciliation and timely reporting.

Ø  Handle confidential information with discretion and maintain professional behavior at all times.
