Additional Requirements:

Experience:      

  • 3–6 years of relevant experience in executive coordination, operations, administration, or similar roles.

  • Prior experience in non-profit, INGO, corporate, or mission-driven organizations preferred.   

Skills and other competencies:

  • Strong organizational and time-management skills.

  • Excellent written and verbal communication in English (Bangla proficiency required).

  • High emotional intelligence, discretion, and professional maturity.

  • Ability to manage multiple priorities without constant supervision.

  • Confidence in dealing with senior leadership and external stakeholders.   

  • Strong digital literacy (email, documents, calendars, presentations).

Position Summary:

The Executive Coordination & Operations Officer will ensure that the Founder & Executive Director’s time, priorities, communications, and follow-ups are managed with precision, confidentiality, and professionalism. This role involves executive coordination, internal communication, governance support, and office operations.



Job Responsibilities:

 

Executive Coordination & Priority Management

  • Manage the Founder & Executive Director’s calendar, meetings, and engagements with strategic judgment. 

  • Prepare briefs, agendas, talking points, and background notes ahead of meetings. 

  • Track decisions, follow-ups, and action points; ensure timely execution across teams. 

  • Act as a first point of coordination between leadership and internal/external stakeholders.  

Strategic Communication & Documentation 

  • Draft, review, and format professional correspondence, emails, notes, and internal communications. 

  • Support preparation of presentations, reports, speeches, and leadership updates. 

  • Maintain structured digital and physical records with confidentiality and version control.  

 

Governance & Organisational Support 

  • Support board-related coordination, leadership meetings, and high-level reviews when required. 

  • Assist in organizing strategic workshops, retreats, donor visits, and official events. 

  • Ensure alignment with organizational protocols, HR policies, and internal processes.  

Office & Operations Management 

  • Coordinate with other teams/ departments to ensure smooth daily operations. 

  • Monitor deadlines, compliance requirements, and priority deliverables linked to the Founder’s Office. • Handle sensitive information with discretion and professional ethics. 

Relationship & Stakeholder Coordination   

  • Liaise with donors, partners, senior staff, and external stakeholders professionally. 

  • Maintain a calm, respectful, and solution-oriented approach in high-pressure situations.

Safeguarding:

  • Uphold and promote the organization’s safeguarding policies to ensure the safety, dignity, and well-being of all children, young people, and vulnerable adults engaged in our activities.

  • Immediately report any concerns, suspicions, or incidents of safeguarding breaches in line with the organization’s reporting procedures.

  • Maintain professional boundaries and conduct that fosters a safe and respectful environment for all beneficiaries, colleagues, and stakeholders.
