The Executive Support Officer will work closely with the Chairman/Executives and play a key role in ensuring efficient administrative operations and effective communication within the organization. This position offers a dynamic opportunity to develop a wide range of professional skills, including document management, communication, project coordination, social media management, and leveraging AI tools for enhanced productivity, all within the context of a humanitarian organization.
Key Responsibilities:
Administrative Support:
Organize and maintain administrative documents, including hardcopy files, digital records, and other organizational content.
Document Preparation:
Draft project proposal templates in MS Word as per the instructions.
Prepare and update task planners, checklists, and notification schedules in MS Excel.
Use AI tools to assist in collecting data, generating insights, and creating comprehensive reports and documentation.
Data Management:
Maintain comprehensive databases, ensuring accuracy and timely updates. Monitor and report on progress against assigned tasks and deliverables.
AI-Driven Research and Content Creation:
Use AI tools to collect and analyze relevant information for reports, proposals, and organizational needs.
Generate AI-assisted content for digital media, including blog posts, social media captions, and infographics.
Communication and Coordination:
Liaise with legal offices, administrative departments, and banks for documentation and procedural tasks. Visit relevant offices or stakeholders for administrative purposes, as required.
Maintain regular communication and follow-ups with internal and external stakeholders.
Social Media Management:
Develop, schedule, and publish engaging social media content aligned with the organization’s mission.
Monitor social media channels and provide performance insights.
Presentation, Report and Meeting Support:
Design PowerPoint presentations for meetings and project overviews.
Prepare meeting agendas, objectives, and materials as outlined by the Chairman.
Prepare draft reports for overview of any projects/program
Miscellaneous Duties:
Assist in the planning and coordination of organizational events.
Provide additional support as required by the Chairman or senior leadership team.
Provide support to any task assigned by Chairman.
Working schedule might be adjustable & flexible in case of academic issues & other inconveniences.
Partially remote office or work from home might be accepted upon discussion & considering situation
There might be options of doing overtime, thus employee can earn beyond her/his salary
