Responsibilities & Context: Freight Invoice Management
- Prepare, verify, and maintain all freight-related invoices ensuring accuracy in billing and client records.
Export Collection Reporting (Daily)
- Generate daily export collection reports, track receivables, and coordinate with concerned departments to ensure timely collections.
Statement of Account (SOA) & Principal Queries Handling
- Prepare and update SOAs for clients and principals.
- Address and resolve all financial queries from principals with accuracy and professionalism.
Depot Financial Reporting
- Prepare detailed weekly and monthly depot reports covering both outstanding and paid amounts.
- Ensure proper reconciliation with accounts.
Import Statistics Reporting (Weekly & Monthly)
- Maintain and present import-related financial data including cost, duties, and payment status on a weekly and monthly basis.
General Banking Operations
- Manage daily banking transactions including fund transfers, deposit handling, cheque management, and bank reconciliations.
Tax & VAT Compliance
- Ensure strict compliance with all Tax and VAT regulations.
- Maintain accurate documentation, file timely returns, and liaise with tax authorities as needed.
Preparation of Financial Reports:
- Generate and analyze monthly, quarterly, and annual financial statements.
Management Reporting:
- Provide accurate and timely financial reports to assist management in decision-making.
Cost Control and Analysis:
- Track and analyze costs related to freight, customs, warehousing, and other logistics operations.
Bank Reconciliation:
- Ensure proper reconciliation between bank statements and accounting records.
Supervision of Billing and Invoicing:
- Oversee client and vendor invoicing processes to ensure accuracy and timeliness.
Tax and VAT Compliance:
- Handle monthly VAT returns, advance income tax (AIT), and other tax-related matters.
Audit Support and Preparation:
- Prepare for internal and external audits by organizing necessary documents and data.
Team Supervision and Training:
- Guide and train junior accountants to ensure proper task execution.
ERP/Accounting Software Management:
- Maintain and utilize accounting software for bookkeeping and reporting.
Cash Flow Management:
- Monitor and manage the company's liquidity and financial health.
