Responsibilities & Context:
Responsible for:
Oversee office operations, facilities, and supplies.
Manage vendors, service providers, and contracts.
Support management with correspondence, reports, and documentation.
Organize meetings, events, and travel arrangements.
Ensure compliance with company policies and administrative procedures.
Maintain proper record-keeping and filing systems.
Activities:
1. Office & Facility Management
Ensure efficient operation and maintenance of office premises, utilities, equipment, and supplies.
Supervise housekeeping, security, transportation, and other support services.
Maintain office assets and oversee repair/replacement needs.
2. Administrative Support
Provide administrative support to organization.
Organize meetings, workshops, and official events.
3. Goods (medicines & other materials) Management
Maintain vendor relationships and ensure timely receive & delivery of goods and services.
Monitor expenses and ensure cost-effective solutions.
4. Compliance & Record Keeping
Ensure compliance with organizational policies, health & safety regulations.
Maintain updated records of contracts, licenses, and administrative documents.
Prepare reports and presentations as required.
5. Various office management tasks:
Perform efficiently for different problem-solving activity in accordance with supervisor’s instruction. Assist with office repair and maintenance work as needed.
6. Others
To carry out any other function/administrative tasks as delegated by the Supervisor or Management.
Skill and Competencies:
Educational Qualification:
Bachelor/Graduate or related field
3 – 5 years of experience in administration
Experience in NGO is preferable.
Excellent computer skills
Strong interpersonal skills
Self-driven to work under pressure (pro-active attitude).
