Responsibilities & Context:
  • Handle Incoming Inquiries: Manage booking requests received via phone, email, the hotel`s website, and third-party booking channels (like Expedia, Booking.com).

  • Process Reservations: Accurately input all guest information, dates, room type, rate, and special requests into the Property Management System (PMS) or Central Reservation System (CRS).

  • Modify and Cancel Bookings: Efficiently handle changes to existing reservations, including date adjustments, room type upgrades, and cancellations, following the hotel`s policies.

  • Manage Availability: Monitor and update room inventory in real-time across all distribution channels to avoid overbooking.

  • Confirm Reservations: Send timely confirmation emails or letters to guests, detailing their stay information, cancellation policy, and other important details.

Sales & Revenue Generation

  • Upselling: Proactively suggest and sell higher-category rooms, suites, or packages to enhance the guest experience and increase revenue.

  • Promote Hotel Amenities: Inform callers about hotel features like the spa, restaurant, pool, fitness center, and business facilities to drive ancillary revenue.

  • Know and Sell Rates: Have a thorough understanding of different rate plans (e.g., advance purchase, non-refundable, bed & breakfast) and effectively communicate the benefits of each.

  • Achieve Sales Targets: Work towards individual and departmental goals for conversion rates and revenue per call.

Customer Service & Communication

  • Provide Information: Serve as an information resource for guests, answering questions about the hotel, local attractions, transportation, and services.

  • Handle Special Requests: Process and accurately document guest preferences such as early check-in/late check-out, non-smoking rooms, ADA-accessible rooms, rollaway beds, or cribs.

  • Problem-Solving: Address and resolve guest complaints or issues related to reservations promptly and professionally.

  • Professional Communication: Maintain a friendly, patient, and professional tone in all interactions, both verbal and writen
