Responsibilities & Context:

Welcoming Visitors:

  • Greet visitors warmly and professionally.
  • Register them, issue visitor badges, and direct them to the appropriate person or department.
  • Address any immediate needs or concerns they might have.

Managing Communication:

  • Phone Calls: Answer and route incoming calls, take messages, and handle inquiries.
  • Emails and Correspondence: Receive, sort, and distribute incoming mail and packages; send out correspondence as needed.
  • Scheduling and Coordination:
  • Appointments: Schedule and manage appointments and meetings.
  • Meeting Rooms: Book and prepare meeting rooms, ensuring they are equipped with necessary materials and refreshments.

Administrative Tasks:

  • Office Supplies: Manage inventory of office supplies, reorder items, and ensure availability.
  • Filing and Documentation: Handle filing, data entry, and other administrative tasks.
  • Security and Access Control:
  • Monitor visitor access to ensure security protocols are followed.
  • Maintain visitor logs and manage entry and exit of visitors and staff.
  • Information and Customer Service:
  • Provide information about the organization’s services, policies, and procedures.
  • Address and resolve basic customer service issues or escalate them to the appropriate department.
  • Maintenance of Reception Area:
  • Ensure the reception area is clean, organized, and presentable.
  • Keep brochures, business cards, and other materials up-to-date.

Support to Other Departments:

  • Assist with various administrative tasks for different departments as needed.
  • Coordinate with staff to facilitate smooth operations and communication.
