Job Description – Receptionist

Position Title: Receptionist
Department: Administration / Front Office
Location: Corporate Office
Reports To: Admin Manager / HR & Admin Head
Employment Type: Full-time


1. Position Summary

The Receptionist is responsible for managing the front desk operations, receiving visitors, handling incoming calls, and providing administrative support to ensure smooth operations of the office. The role requires excellent communication skills, a professional attitude, and strong customer service orientation.


2. Key Responsibilities

Front Desk & Visitor Management

  • Greet and welcome visitors in a warm, professional manner.

  • Maintain the visitor logbook and issue visitor passes as necessary.

  • Communicate visitor arrivals to relevant employees promptly.

Telephone & Communication Handling

  • Handle all incoming phone calls and route them appropriately.

  • Take and relay messages accurately.

  • Maintain updated telephone directories (internal and external).

Administrative Support

  • Manage incoming and outgoing mail, couriers, and deliveries.

  • Assist with scheduling meeting rooms and maintaining cleanliness of reception and waiting areas.

  • Maintain stationery inventory and place orders when required.

  • Assist HR/Admin team in document management, printing, photocopying, and filing.

Office Coordination

  • Ensure the reception area is tidy, organized, and presentable at all times.

  • Coordinate with office support staff (peons, cleaners, security) for smooth operations.

  • Assist in organizing small office events, meetings, and hospitality arrangements (tea/coffee, snacks for guests).

Record Keeping

  • Prepare daily/weekly reports on visitors, calls, and general front office activities.

  • Maintain accurate records of courier dispatches and receipts.


3. Required Qualifications & Skills

Academic Qualifications

  • Minimum HSC / Bachelor’s degree preferred (any discipline).

Experience

  • 1–3 years’ experience as a Receptionist or Front Desk Executive (freshers with strong communication may also apply).

Technical Skills

  • Proficiency in MS Office (Word, Excel, Outlook).

  • Basic knowledge of office equipment (printers, scanners, PABX system).

Soft Skills

  • Excellent communication in English & Bangla.

  • Pleasant personality and professional appearance.

  • Strong interpersonal and customer service skills.

  • Ability to multitask, stay organized, and handle pressure.

  • Punctual, proactive, and detail-oriented.

5. Working Hours
