Responsibilities & Context:

Administrative Support

  • Manage the Managing Director calendar, schedule appointments, and organize meetings.

  • Prepare meeting agendas, take minutes, and follow up on action items.

Communication Management

  • Handle emails, calls, and correspondence on behalf of the Managing Director.

  • Draft letters, reports, and internal memos.

Travel & Event Coordination

  • Arrange travel, accommodation, and itineraries for the Managing Director.

  • Organize events, conferences, or business meetings as needed.

Confidentiality & Discretion

  • Maintain strict confidentiality on sensitive matters.

  • Handle personal and professional matters with tact and discretion.

Information & File Management

  • Organize and maintain documents, records, and files (both digital and physical).

  • Retrieve and present information quickly when required.

Liaison Role

  • Act as a point of contact between the MD and internal/external stakeholders.

  • Coordinate with department heads and staff on behalf of the Managing Director.

Task & Project Follow-Up

  • Monitor progress of delegated tasks and projects.

  • Ensure deadlines are met and report back to the Managing Director

Time Management

  • Help the Managing Director prioritize tasks to ensure efficient use of time.

  • Remind and prepare the Chairman for important meetings and deadlines.

  • Help the Managing Director prioritize tasks to ensure efficient use of time.

  • Coordinate overseas recruitment activities and support manpower processing operations

  • Communicate with foreign clients, agents, and internal departments professionally.

  • Assist management in candidate screening, documentation follow-up, and recruitment coordination.

  • Handle official correspondence (email, WhatsApp, reports, proposals)

  • Maintain recruitment records, candidate databases, and follow-up schedules.

  • Support senior management in meetings, coordination, and official tasks.

  • Represent the company professionally in client interactions, office visits, and coordination meetings.

  • Any other responsibilities assigned by management as required.
