Responsibilities & Context:
Key Area 1: Planning and Programme Implementation
• Develop Detailed Implementation Plan (DIP) through teamwork and with support from CAID & FIVDB Senior Management to ensure timely and quality implementation and monitor progress and to deliver LLAA preparedness, readiness and early action activities.
• Support the team with development of their area specific activity plan aligned in line with the DIP, budget, and donor agreement in the Rohingya camps and host community.
• Ensure deliverables according to the agreement in compliance with donor requirements, while regularly tracking progress against targets.
• Represent FIVDB with donor and other relevant agencies at Teknaf/Cox’s Bazar level.
• Work closely with FIVDB’s internal departments, including HR, Finance, Admin and Logistics to ensure projects are appropriately resourced and project activities are delivered.
• Closely monitor and supervise the implementation of project activities and associated staff.
• Work closely with Project Team and CAID technical team to generate evidence.
• Lead monthly/quarterly review and coordination meetings with the project team.
• Provide technical support to the team to process purchase orders, keep records, and track those with the relevant department and communicate with the respective team members to ensure timely completion.
• Support the creation and updating of procurement plans, and distribution schedules for livelihood inputs.
• Contribute in creation of an inclusive work environment for marginalised populations including indigenous groups and women - ensuring a gender equitable, women and PWDs friendly, sensitive work environment.
• Promote a high sense of responsibility and accountability within programme and field operations teams.
• Ensure timely annual/interim narrative and financial reports as per agreement
• Lead the budgets review process as per requirement considering the contextual learnings and new developments.
• Any other tasks assigned by the Supervisor.
Key Area 2: Community Engagement and Capacity Building
• Ensure support to identify and select target participants in the targeted camps and host locations using appropriate approaches.
• Support the arrangement of community dialogues, advocacy meetings, and awareness sessions on disaster preparedness, and peacebuilding activities.
• Promote gender equality and inclusion in project interventions, ensuring participation of vulnerable groups.
• Conduct regular learning, sharing and accountability sessions with community members to gather feedback and inform continuous improvement.
• Identify gaps and take initiatives to strengthen staff capacity and build capacity of local facilitators and volunteers through on-the-job coaching.
• Contribute to an inclusive working environment for marginalized populations, including women, PWDs, Rohingya refugees and host community members.
Key Area 3: Monitoring, Reporting and Documentation
• Support to develop a robust Monitoring, Evaluation, Accountability, and Learning (MEAL) plan.
• Produce high-quality, timely event and program reports on program activities with the support of project team to meet FIVDB and donor requirements.
• Ensure the review and timely dissemination of high quality, analytical reports.
• Conduct regular field visits to assess program quality and gather beneficiary feedback and ensure quick response to the feedback as per guideline.
• Ensure thorough documentation of FIVDB’s project experiences and lessons, including success impactful stories, supported by photos, videos and relevant annexes aligning with donor and FIVDB guidelines.
Key Area 4: Administrative and Financial Support
• Responsible for budget management and support the team to ensure efficient utilization of fund as per plan.
• Prepares FD-6/FD-7/FC-1 with assistance from CAID and initiate certification from local authority and contact with relevant government authorities.
• Prepare costed work plan and provides support to revise budget.
• Ensure proper and smooth financial management in compliance with donor policy and standards.
• Ensure monthly monitoring of project budget utilization.
• Ensure all kinds of expenditure and payment from the field in accordance with activity line, budget and code.
• Support procurement planning and distribution schedules for community-level activities and inputs.
Key Area 5: Coordination
• Coordinate with Sectoral Structure at camp and Cox’s Bazar level and adapt new development as per sector standards aligning with project design.
• Collaborate with relevant stakeholders at community, camp and host-community levels to support LLAA and social cohesion outcomes.
• Promote linkages with government, private sector actors and local markets to enhance livelihood opportunities and support self-reliance opportunities.
• Represent FIVDB at relevant field-level meetings and with local stakeholders as required.
• Ensure compliance with FIVDB/Christian Aid safeguarding, PSEAH, financial and administrative procedures in all field activities.
