Name of Project: Culturally Aligned Generative AI for Mental Health in Bangladesh

The Field Coordinator will lead day-to-day, site-level implementation of project activities, including community mobilization, stakeholder engagement, and scheduling and logistics for screening, counselling, and courtyard sessions. The role serves as the primary liaison between the community, the field team, and project management; is responsible for monitoring field-level activity, data quality, and progress against the workplan; and manages site-level procurement and billing processes. The Field Coordinator provides logistical and scheduling support to Para-counselors but does not hold a supervisory reporting line over them- Para-counselors report to the Psychologist for clinical supervision.

A) Site Coordination and Community Mobilization

  • Lead community entry and mobilization activities across the assigned communities (both data-collection and implementation sites).

  • Plan, organize courtyard sessions and stakeholder engagement sessions in line with project protocols and training.

  • Coordinate participant recruitment and screening logistics (venue, scheduling, participant flow) in line with site-level targets.

  • Build and maintain strong relationships with community members and act as the primary point of contact at field level.

B) Team Coordination and Logistical Support

  • Coordinate daily and weekly activity schedules and site logistics for Para-counselors at the assigned site.

  • Track activity completion and site-level case flow for monitoring and reporting purposes, flagging logistical or scheduling issues to the Psychologist as needed.

  • Support onboarding and logistical arrangements for training, screening-tools & other activities.

  • Liaise with the Psychologist to support tracking of referrals and coordination of complex-case logistics.

C) Stakeholder Engagement and Referral Pathways

  • Represent the project at community-level coordination meetings with local government, health facilities, and other stakeholders.

  • Support mapping and maintenance of local referral pathways in coordination with the Psychologist and Project Manager.

  • Facilitate stakeholder engagement sessions to build community trust and reduce mental health stigma.

D) Data Management, Monitoring and Reporting

  • Ensure timely and accurate data collection, entry, and reporting from field activities, including screening and session tracking.

  • Monitor progress against workplan milestones at the site level and flag delays or risks to the Project Manager.

  • Prepare and submit site-level activity and progress reports.

  • Support documentation of case stories, good practices, and field-level learnings.

E) Procurement and Billing

  • Support site-level procurement of goods and services (venues, training materials, refreshments, transport, etc.) in line with SF procurement policy and project budget lines.

  • Prepare and submit purchase requisitions, vendor quotations/comparative statements, and supporting documents for site-level expenses.

  • Verify, compile, and process bills, invoices, and payment vouchers for field activities, and route them for timely approval and payment.

  • Maintain accurate records of site-level expenditures, receipts, and supporting documentation for financial reporting and audit purposes.

  • Coordinate with the Finance/Admin team at Head Office for fund requests, disbursement, reimbursement, and reconciliation of site-level accounts.

  • Ensure site-level procurement and billing practices comply with donor and organizational financial guidelines.

F) Other

  • Support logistics for field visits by project management & relevant stakeholders.

  • Undertake other duties as assigned, relevant to the role.
