Job Responsibilities:
∎ Accountabilities
∎ • Ensuring storage, stock management and supply processes, as well as hygiene and security procedures, tools, and protocols (controlling pests and rodents), implementing appropriate quality controls and records, in order to ensure good storage conditions (temperatures, humidity and light exposure) and availability of drugs and medical material, according to MSF protocols, national regu-lations and in cooperation with the logistics department.
∎ • Coordinating the delivery, reception and recording of international and local orders, in close coordina-tion with the logistics department, updating stock files and informing line managers on their status (shortfalls, over-stocking, expiry dates), in order to permanently ensure security stock levels and en-sure efficient management of stock.
∎ • Supervising orders of medical and drug material in order to ensure an efficient and appropriate con-sumption pattern under budget constraints.
∎ • Supervising the supply of drugs to patients, according to medical prescriptions, informing them on consumption patterns and keeping conditions in order to ensure their therapeutic progression
∎ • Ensuring efficient supply to other pharmacies managed/supported by MSF according to orders and stocks, and using cold chain when needed. Monitoring and analysing orders of depending pharma-cies in order to avoid ruptures of stock or having expired drugs.
∎ • Supervising, with the HR department, the associated processes (sizing, staff shifts, recruitment, trai-ning, performance evaluation, development and internal/external communication) of the pharmaceuti-cal team and the nursing staff, in order to ensure both the sizing and the amount of knowledge requi-red and to improve their dispensing capabilities.
∎ • Recording all items received and issued in computer (Isystock) and reporting on drug consumptions and medical equipment dispensed according to protocols, informing on unusual patterns as well as forecasting future needs, in order to rationalise the budget and to ensure availability.
∎ • Assisting in training of nursing staff regarding dispensing of drugs and their side effects
∎ MSF Section/Context Specific Accountabilities
∎ • Setting up and management of central fpharmacy / facility pharmacy at Rubber Garden or other SARI isolation-treatment centers (Covid-19 treatment facilties) and / or at other MSF facilities,
∎ • Ensure pharmacy orders are made on weekly and monthly stocks to medical warehouse on timely manner with approval from MTL/PMR.
∎ • Esnure pharmaceutics items/materials are organized in the pharmacy according to MSF /MoH standards, in close colloboration with Mission Pharmacy Manager.
∎ • Ensure timely preparation of medical supplies as requested and approved to all all the departments/wards/laboratory etc etc.
∎ • Esnure maintenance of consumptions on daily, weekly and monthly basis – using MSF tools, tools updated regular and submitted to MTL as required.
∎ • Close monitoring of stock level in the pharmacy and immediately report to MTL or MAM/NAM, when noticing lower stock level, ruptures, expired drugs etc.
∎ • Follow FIFO principles when delivering medical supplies to departments,
∎ • Ensure appropriate temperature is maintained in the pharmacy and cold chain with regular monitoring and reporting any breach or alarms.
∎ • Ensure reporting any quality issues for medications, medical materials etc to MTL and Mission pharmacy manager.
∎ • Conduct prescription audits and analysis on correct use of medications/anti-biotics by MDs and MAs done in close colloboration with NAM, MAM and MTL/PMR.
∎ • Regular monitoring of PPEs consumptions vs stock availability on daily basis in each department. Ward and stock availbility in the pharmacy, and provide daily report to MTL/PMR.
∎ • Abide to strict IPC standards during working hours as requited by MSF.
∎ • Conduct Consumptions vs TSR analysis on monthly basis using MSF tools / templates and prepare report to MTL.
∎ • Participate in the international order proces and local purchase process, when required,
∎ • Prepare and submit weekly and monthly reports to MTL/PMR.
