Responsibilities & Context:
∎ Diary management-outlook experience essential.
∎ Booking meetings/appointments.
∎ Maintaining the Chairman’s travel log.
∎ Maintaining the Chairman’s planner.
∎ Fielding calls for Chairman & talking messages. (If necessary).
∎ Carrying out research for particular projects as instructed by the Chairman.
∎ Taking minutes at various management meetings & typing up minutes.
∎ Ability and willingness to travel.
∎ Business travel flights, hotels, car hire, valet parking, etc.
∎ Organizing visas.
∎ Arranging visa invitation letters to overseas visitors.
∎ Manage the day-to-day office tasks of the Chairman.
∎ Inputting and updating contact details into Outlook.
∎ Organizing corporate & staff events.
∎ Assisting with the organization of exhibitions and possibly attending if required.
∎ Purchasing various items for the Chairman as and when required.
∎ Paying personal bills for the Chairman.
∎ Organizing medical appointments.
∎ Assisting Chairman with personal holiday/events.
∎ Ad hoc paperwork & duties.
∎ Maintain accurate calendars with an understanding of prioritizing important deliverables.
∎ Participate in highly confidential meetings, provide accurate records, and transcribe and distribute meeting minutes.
