Responsibilities & Context:
∎ Maintain Stock Requisition Forms, Purchase Orders (PO), and Delivery Notes properly.
∎ Update the Stock Register regularly and ensure consistency.
∎ Conduct Perpetual Inventory every two months.
∎ Update all stock-related records in Excel to ensure transparency and tracking.
∎ Supervise Cook and Cook Assistant for food preparation and hygiene.
∎ Coordinate regularly with the Dining Management Committee and colleagues.
∎ Form the Dining Committee between the 25th and 30th of every month.
∎ Take meeting notes during each dining meeting, share minutes in the Canteen WhatsApp Group, and archive a hard copy in the dining file.
∎ Track daily meal counts using Google Sheets and Share the meal numbers to the cook and committee.
∎ Maintain attendance records for all dining meetings.
∎ Collect dining payments from colleagues and ensure proper recording.
∎ Create a new WhatsApp group each month for the committee, sharing:
∎ Prepare Duty schedules for Cook and Dining Staff, Share it to the dining committee, Share the Vendor contacts for product sourcing.
∎ Announce dining meeting schedules and post important updates in the Canteen WhatsApp Group.
∎ Monitor Canteen Store items and maintain dining stock levels.
∎ Keep and manage the Dining Cash Fund securely. And collect the Dining Bills and archive it at the end of the month.
∎ Dining Food Bills,Night Hold Bills,Travel Authorizations (TA),TA Bills,IOUs
∎ Maintain Delivery Note Book, GRN Book, SRN Book.
∎ Provide logistical support and items as needed by sector teams.
∎ Prepare budgets with detailed specifications for PRs, coordinate with vendors, inspect received items for quality, and store them properly.
∎ Maintain a Meeting Register for official sessions.
∎ Ensure cleanliness of all meeting rooms.
∎ Support event arrangements with full logistics coordination and physical presence where needed.
∎ Supervise volunteers for guest refreshments and beverage service.
∎ Oversee office and house cleaning, including washroom maintenance.
∎ Ensure water filters in office and housing are cleaned, refilled, and regularly monitored.
∎ Log all repair and maintenance issues (Electrical, WASH, Security, etc.).
∎ Address issues immediately and, if necessary, seek support from sector teams (especially WASH).
∎ Maintain records and follow up until resolution.
∎ Maintain a Work Order Tracker (soft copy saved).
∎ Deliver Work Orders to vendors on time.
∎ Coordinate effectively with sector colleagues and vendors to ensure smooth operations.
∎ Prepare duty schedules for volunteers and supervise daily tasks.
∎ Ensure proper monitoring, documentation, and payment of volunteers and any hired labourers.
∎ Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
∎ Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
∎ Follow the safeguarding reporting procedure in case any report-able incident takes place and encourage others to do so.
∎ The Officer, Admin will be responsible for ensuring admin support at Bhasan Char (HCMP) offices and also coordinate with operations team for necessary administrative support under the supervision of Manager, Admin
∎ 1. Store Management
