Key Responsibilities – Public Administration (Primary Focus)
1. Act as the company’s representative in government offices such as BSTI, BEZA, Ministry offices, City Corporation, Customs, Regulatory Authorities.
2. Manage applications, renewals, approvals, certifications, and all regulatory submissions required for business operations.
3. Maintain strong, professional relationships with government stakeholders to ensure smooth processing of files and administrative matters.
4. Coordinate field visits, inspections, audits, compliance verifications, inhouse and official meetings with government authorities.
5. Track the status of all government files, approvals, and pending cases; ensure timely follow-ups and escalations when needed.
6. Support administrative documentation: license papers, permits, regulatory forms, submission letters, compliance checklists, etc.
7. Provide administrative assistance to internal departments for tasks involving government offices (HR, Admin, Operations, SCM).
8. Prepare and maintain a structured tracker for all regulatory touchpoints, meetings, submissions, and approvals.
9. Communicate updates clearly to management and ensure transparency in all administrative dealings.
10. Timely updates on changes in policies, laws, and regulations, with a key focus on the company's business upliftment.
Legal Responsibilities (Secondary Focus)
1. Assist in drafting, reviewing, and organizing basic legal documents, company agreements, declarations, and compliance papers.
2. Maintain communication with external legal advisors, law firms, and auditors for ongoing legal matters.
3. Support preparation of legal documents needed for government submissions and certifications.
4. Keep updated records of licenses, trademarks, legal notices, and regulatory filing deadlines.
5. Create a framework for timely renewal of the various required license.
