Responsibilities & Context:
The Operation manager (OM) will oversee and manage the day-to day departmental activities as designated by the Chief Executive Officer and also supports cafe senior leadership in upholding all brand standards and core values. The role ensures efficient supply chine management, quality control and smooth coordination with internal terms and external stakeholders.
Key responsibilities:
- Supervise daily warehouse operations, including receiving, storage, stock rotation and dispatch.
- Conduct periodic physical stock counts and reconcile with system records.
- Maintain hygine, safety and security standards at the warehouse.
- Ensure timely reporting of stock positions to controlling officer.
- Oversee operations of all outlets.
- Manage labor schedules in line with the cafe’s budgets and forecast models.
- Ensure outlets are adequately stocked and distribution is conducted smoothly.
- Monitor outlet staff performance, ensuring compliance and customer service.
- Resolve operational issues promptly, ensuring zero disruption to beneficiaries.
- Coordinate procurement of goods and supplies as per organizational standards.
- Verify procurement documents and ensure transparency in vendor selection.
- Develop daily/weekly/monthly operational reports to management.
- Track KPIs for warehouse and outlet efficiency.
- Identify potential risks(stockouts, supply delays, fraud, safety hazards etc.).
- Implement risk mitigation plans and emergency response mechanisms.
