Responsibilities & Context:

HR & Admin Responsibility

1.       Maintain employee database, Attendance Management & leave management through HRIS & ERP Software.

2.    Assist with the development and implementation of HR policies and procedures

3.    Maintain compliance with local labor laws and regulations

4.    Manage the employee records, including maintenance of HR files and data accuracy.

5.    Provide support to employees on HR-related matters, such as benefits, leave, and policies.

6.    Ensure Head Office smooth and efficient administrative operations including office management, Transport Management, facility supervision, and asset management.

7.    Manage general administrative tasks, such as office supplies, mail distribution, and vendor management.

8.    Maintain compliance with all applicable HR laws, regulations, and policies.

9.    Provide support to the HR Manager and other stakeholders as needed.

Transport Responsibility

1.    Manage and control all company vehicles and ensure proper use as per policy.

2.    Prepare daily vehicle schedules and arrange transport for management, and Buyer.

3.    Supervise drivers, including duty rosters, attendance, discipline, and performance.

4.    Ensure drivers have valid licenses and follow traffic rules and company policies.

5.    Arrange regular servicing, maintenance, and repairs of vehicles and keep proper service records.

6.    Monitor fuel consumption, maintain fuel logs, and control misuse and transport costs.

7.    Verify fuel, repair, and other transport bills before submitting to accounts.

8.    Maintain all vehicle documents such as registration, fitness, permits, insurance, and tax tokens.Keep records of driver licenses, vehicle logbooks, and accident/incident reports.

9.    Coordinate and negotiate with transport vendors, workshops, and fuel stations.

10. Prepare regular reports on fuel use, maintenance costs, and vehicle utilization.

11. Report major transport issues to management and support general admin duties when required.
