Position Overview


The Head of Operations – Hajj & Umrah at South Asia Travel Hajj Service is responsible for leading and managing the full spectrum of pilgrimage operations — from planning and vendor coordination to on-ground execution and customer experience. This role ensures that all pilgrims receive seamless, safe, and spiritually fulfilling services in full compliance with the Ministry of Hajj and Umrah, Saudi Embassy, and local regulatory standards.

Key Responsibilities

1. Strategic Planning & Leadership

·        Develop, implement, and monitor annual Hajj & Umrah operational plans.

·        Lead the end-to-end management of the pilgrim journey — including visa processing, ticketing, accommodation, transport, catering, and ground coordination in Makkah and Madinah.

·        Ensure operational readiness for both regular and peak seasons, maintaining service excellence and cost efficiency.

·        Introduce innovation and digitalization in operational systems for improved efficiency and tracking.

2. Service Delivery & Process Management

·        Establish and enforce SOPs (Standard Operating Procedures) to ensure consistent service standards across all operational units.

·        Supervise on-ground operations teams during Hajj and Umrah seasons to ensure timely, high-quality service delivery.

·        Continuously assess operational processes and implement improvements to enhance pilgrim satisfaction and reduce errors.

3. Compliance & Coordination

·        Ensure full compliance with regulations set by the Ministry of Hajj and Umrah, Ministry of Religious Affairs, and other relevant authorities.

·        Oversee all documentation, licensing, and reporting related to Hajj & Umrah operations.

·        Liaise with the Saudi Embassy, airlines, hotels, and transportation companies for required clearances and service coordination.

4. Vendor & Partner Management

·        Build and maintain strong partnerships with Saudi-based service providers including Muassasa, hotels, catering firms, and transport operators.

·        Negotiate vendor contracts to ensure cost efficiency without compromising service quality.

·        Conduct periodic vendor performance reviews and audits.

5. Financial & Resource Management

·        Prepare annual operational budgets and manage cost control measures.

·        Monitor and report on expenditures, revenues, and profitability.

·        Coordinate with the Finance Department to ensure accurate billing and settlement of vendor payments.

6. Team Leadership & Development

·        Lead and mentor the operations team in Bangladesh and Saudi Arabia.

·        Conduct pre-departure briefings and training for staff and volunteers.

·        Promote a service-oriented, ethical, and high-performance culture across teams.

7. Customer & Stakeholder Relations

·        Oversee customer service protocols and complaint resolution mechanisms.

·        Maintain transparent communication with pilgrims, ensuring accurate pre-departure guidance and on-ground assistance.

·        Represent the company in official meetings with government bodies and religious councils.

·        Oversee customer experience, grievance resolution, and stakeholder communication.
