Job Context:
∎ Friends in Village Development Bangladesh (FIVDB) is going to implement “Multi sectoral recovery response to flood affected communities in Sylhet division, Bangladesh” Project in Dowarabazar Upazila under Sunamganj district in partnership with ACF. The present project tenure is one year. The job is contractual for the project period with a 3 months probation period. The position will be recruited for implementing the project based at the Project Office at Dowarabazar Upazila in Sunamganj district with substantial field activities.
∎ Friends In Village Development Bangladesh (FIVDB), is a Bangladeshi non-governmental organisation founded in 1979 under the Societies` Registration Act, 1860. The organisation is also registered with the NGO Affairs Bureau and the Micro Credit Regulatory Authority, of the Government of Bangladesh.
∎ FIVDB`s societal vision is that of `a vibrant society based on justice, equity, democracy and environmentally sound principles`. It works with the mission to give the disadvantaged women, men and children greater voice, reduce their vulnerability, increase their use of citizenship rights and help them enhance their quality of life. To that end FIVDB pursues educational, social and economic capacity building and social organization processes. It works to strengthen social protection and safety networks and participates in national and international outreach and advocacy. The organization combines grassroots service delivery, social mobilization and advocacy in its work and works in collaboration with communities, civil society, the Government and private sectors.

Job Responsibilities:
∎ The Finance and Admin Officer will be responsible for assisting the project to establish and maintain transparent financial system. S/he will be responsible for documentation of official documents and financial papers. S/he will report to the Project Coordinator of this project.
∎ 1. Ensure appropriate utilization of fund and crosscheck the financial issues and books of accounts at his/her assigned work place.
∎ 2. Produce timely financial reports, assist in preparation of budget and ensure compliance with donor agencies regulation regarding accounting, auditing and financial management requirement.
∎ 3. Assist Project Coordinator in different kinds of day-to-day bank transactions, updating vouches and maintaining record.
∎ 4. Maintain financial documents. Monitoring financial documents in field office; assist project coordinator in preparing budget forecast.
∎ 5. Ensure the completeness and accuracy of the accounting records.
∎ 6. Prepare budget variance report and comparison with actual expenses, monthly, quarterly, six monthly, yearly.
∎ 7. Review and check the books, documents, bill, invoices etc.
∎ 8. Facilitate financial and administrative control systems by using internal control tools and technique and ensure proper contract management by proposing and implementing the organization rules.
∎ 9. Perform performance management activities of the supervisee in timely including coordination with the program/donor and other technical unit From Donor.
∎ 10. Maintain and preserving all kinds of official documents.
∎ 11. Maintain staff personal files, leave file, stock register, attendance register, inventory, meeting resolution, telephone etc.
∎ 12. Provide logistic support to the programmatic activities of any kind event management as per project plan.
∎ 13. Supervise office support staff at field level.
∎ 14. Assist ACF in reviewing the progress activities, perform field visit for cross checking the financial reports and programmatic records, and observe operation. Review the Procurement activities and compare reported expenses with budget.
∎ 15. Assist in preparing monthly, quarterly, six monthly and yearly financial reports.
∎ 16. Assist in preparing bills/vouchers, books of account and ensure approval from proper authority.
∎ 17. Ensure that Organization's policies are strictly followed and safeguard the official assets.
∎ 18. Take necessary measure for explanation of significant variance.
∎ 19. Financial any query from Donor meet up on time. Review internal and external audit report.
∎ 20. Maintain professional relationship with concerned agencies. Participate in staff meeting, Training, Workshop and Day observation. Arranging control concise procedures.
∎ 21. Ensure the safety of team members (in respect to Prevention of sexual exploitation and abuse - PSEA) from any harm, abuse, neglect, harassment and exploitation to achieve the programme's goals on safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
∎ 22. Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
∎ 23. Follow the safeguarding reporting procedure in case any reportable incident takes place, encourage others to do so.
∎ The employee will be ready to perform any other tasks assigned by organization for the greater interest of the organization and the community even if those tasks are not mentioned in the above role and responsibilities.
∎ Report to: Project Coordinator
∎ Working place and time utilization: The position is based at the upazila level with a majority of the time spent in the field for program implementation, monitoring and documentation purposes. S/he will spend minimum 25% time in the field and 75% at the office on reporting.

Additional Requirements:
∎ Age 30 to 55 years
∎ Have using experience accounting software Tally ERP.
∎ Have experience in office and financial management.
∎ Have ability to effectively deal with GO/NGO and other agencies.
∎ Have very good MS Office skills particularly in MS Excel.
∎ Ability to compose Bangla and English.
∎ Enable to work with team members.

Salary:
∎ Tk. 65000 - 70000 (Monthly)
∎ Deduction of Tax at Source

∎ As per the project policy of FIVDB and the budgeted provision of this project.
