Job Context:
∎ Dhaka Ahsania Mission (DAM) is a non-government development organization founded in 1958 by Khan BahadurAhsanullah, an eminent educationist, reformer and Sufi with the aim of social and spiritual development of entire human community. DAM has been contributing for the betterment of the disadvantaged population through operating 35 institutions and also 8 sectors of development. Health Sector is one of the core sectors of DAM which has also been operating 9 institutions and 14 donor funded projects.
∎ DAM Health & WASH Sector is going to recruit a competent and self-motivated individual for the position of Project Coordinator of its UNFPA and UNAIDS supported project titled “Integrated SRHR & HIV Prevention and Services Intervention for Brothel Based Female Sex Workers” covering six districts namely Rajbabri, Khulna, Jashore, Jamalpur, Faridpur and Potuakhali. It’s a Dhaka based position which will act as the focal of field operation.

Job Responsibilities:
∎ Planning:
∎ Prepare monthly, Quarterly and Yearly Financial report for Donor & DAM
∎ Prepare/Revised Budget for Donor and DAM
∎ Prepare monthly salary sheet systematically
∎ Disburse petty cash to SukhPakhi Centers
∎ Ensure center rent as per agreement clause
∎ Small procurement for Project office stationery, logistics and cleaning items
∎ Liaising with Project Focal on financial matters of the project

∎ Project administration:
∎ General administrative support to UNFPA supported Brothel Intervention;
∎ Maintain project and donor documentation records, including project, staff and consultants’ contracts;
∎ Maintaining schedules and details of project financial transfers and other project related payments required and their due dates;
∎ Maintain a schedule of internal and external reporting deadlines, and ensuring that the donor reporting requirements of project related contracts are fulfilled in a timely manner, and that all necessary information required for software based donor reports developed and uploaded on time
∎ Ensure financial and administrative support to the program team timely for smooth operation of project activities
∎ In conjunction with the DAM’s Finance and Administrative Focal and the Program/Project Focal, ensure that programmes staff comply with the prescribed administrative systems and requirements;
∎ Support the organization of programmes’ annual strategy meetings and quarterly programmes meetings;
∎ Prepare audit accounts for Internal & External
∎ Assist the Internal, external & donor audit team
∎ Prepare auditor observation response (If any) and prepare corrective action plan.
∎ Project accounts:
∎ Maintaining accounts by tally software as regular posting
∎ Maintaining Fixed Asset all other register e.g. stock register
∎ Update petty cash register
∎ Checking bill voucher before payment and present to approval authority for final approval
∎ Prepare monthly bank reconciliation
∎ Support to HR and Admin related works
∎ Prepare vat and tax payment statement monthly
∎ Comply with UNFPA funded rules and regulations
∎ Project finance:
∎ Prepared monthly bank reconciliation and project budget variance and submit to DAM management
∎ Develop and maintain spread sheets and reports for tracking expenditure and reporting to Donors;
∎ Ensure that project expenditures are adequately tracked according to the agreed project budgets;
∎ Prepare in a timely manner accurate financial reports as required by the donor or for internal monitoring;
∎ Prepare and monitor requests for transfers of funds/salary to field based offices/centers;
∎ Keep relevant programme staff informed of incoming and outgoing funds;
∎ Code invoices and other programme expenditure;
∎ Reconcile programme expenditure with organizational accounts;
∎ Provide other support, as requested, to DAM’s Finance and Administrative Focal and the Program/Project Focal in financial management of projects.
∎ Travel and logistics:
∎ Provide project logistical support as required – travel for field visit; training/workshop/meeting, etc.
∎ Coordinate and support procurement unit for the purchase of project equipment, furniture and fixtures according to DAM’s procurement procedures;
∎ Maintain a system for signing project equipment and furniture in and out and ensure that it is up-to-date;
∎ Undertaking other duties from time to time as may be required by Programmes Finance and Administrative Coordinator and the Head of Programmes.
∎ Record keeping:
∎ All bill voucher keeping accordingly as GF fund compliance
∎ Keeping electronics equipment which will be use as project office Dhaka
∎ Staff personnel file keeping accordingly
∎ Letter incoming and outgoing register keeping
∎ Leave register checking and keep accordingly
∎ Bank statement file keeping accordingly
∎ Used and unused checked book custody with lock and key
∎ Others importance file keeping accordingly
∎ Safe Guarding:
∎ Report to safeguarding focal person for any allegation or concerns on the violation of the safe guarding policy in relation to project staffs, organizational staffs, vendors and volunteers is raised.
∎ Support Safe Guarding Focal in relevant awareness building training/orientation as well as cooperate and support for establishing the safe guarding mechanism with the organization and project.
∎ Other Assignment:
∎ Performs other assignments as suggested by the supervisor

Additional Requirements:
∎ Age no more than 45 years.
∎ Experience 3-5 years of working in managing accounts, Tax, VAT, ideally in NGO implemented development program. Working experience in the field of SRH and HIV will add value of course
∎ Ability to work with accounting software packages (tally) is essential.
∎ Proven ability to prioritize tasks, meet deadlines and work with limited supervision
∎ Excellent interpersonal skills and demonstrated ability to establish effective working relations at all levels
∎ Experience of programme administration (preferably in a charity or development context)
∎ Experience in administrating substantial project budgets
∎ Experience in maintaining filing and tracking systems
∎ Good in written and spoken English.
∎ A dynamic and flexible individual with ability to multitask and who can work under pressure
∎ Team player
∎ Pleasant telephone manner and efficiency in relaying messages and taking instructions
∎ Willingness to travel to insecure areas within the constraints of DAM’s security policy.
∎ Applicants must have COVID 19 vaccination certificate.

Salary:
∎ Tk. 40000 (Monthly)
