Responsibilities & Context:
Manage, organize, classify and maintain the Company’s official documents and records in both physical and electronic formats.
Maintain proper records of meeting notices, agendas, attendance records, minutes of meetings, extracts of minutes, resolutions, decisions and related supporting documents.
Prepare, compile, format and preserve minutes, extracts, resolutions and other meeting-related documents as instructed by the appropriate authority.
Maintain and regularly update records relating to land, including deeds, agreements, mutation documents, land-development-tax records, survey records, maps, approvals, correspondence and other relevant documents.
Maintain agreements, contracts, memoranda of understanding, work orders and other documents executed with vendors, contractors, consultants, service providers, government agencies and other external parties.
Establish and maintain a systematic document-filing, indexing, coding and retrieval system to ensure that documents can be located and accessed efficiently.
Digitize important documents through scanning, indexing and uploading them to the designated electronic document repository.
Maintain proper version control and ensure that only the latest approved versions of documents are available for official use.
Maintain document registers, agreement registers, land-document registers, meeting-minutes registers and other relevant document-tracking records.
Maintain appropriate access controls and ensure the confidentiality and security of sensitive, confidential and proprietary documents.
Coordinate with different departments, Plant Offices, vendors, consultants, legal advisers and other relevant stakeholders for the collection, verification, updating and preservation of documents.
Assist Management in retrieving and providing relevant documents for meetings, audits, legal matters, regulatory requirements, due diligence and other official purposes.
Support the preparation of management reports, document summaries, meeting extracts, presentations and official correspondence, as required.
Ensure that documents are retained, archived or disposed of in accordance with applicable laws, Company requirements and approved record-retention practices.
Perform any other documentation, coordination or administrative responsibilities assigned by the Management or reporting authority.
