Job Summary:
The Executive – Sales Admin is responsible for managing and processing distributor claims efficiently and accurately. This includes verifying documentation, coordinating with internal departments, ensuring timely adjustments, and maintaining accurate records. The role plays a key part in ensuring distributor satisfaction and financial compliance.
Key Responsibilities:
a) Receive, review, and validate distributor claims related to:
I. Trade schemes and promotional offers
II. Short/damaged supplies
III. Price discrepancies
IV. Expiry returns and stock rotations
V. Marketing and merchandising reimbursements
b) Ensure all claims are supported by appropriate documentation (invoices, scheme circulars, GRNs, photos, approvals, etc.).
c) Coordinate with sales, logistics, finance, and warehouse teams for claim verification and approvals.
d) Process approved claims through credit notes, account adjustments, or reimbursements as per company policy.
e) Communicate with distributors regarding claim status, discrepancies, or rejections with clear justification.
f) Maintain and regularly update the *Distributor Claim Tracker* in Excel, systems.
g) Ensure adherence to timelines: claim submission, internal processing, approval, and settlement.
h) Support audits and compliance checks by maintaining accurate and organized claim records.
i) Identify recurring claim issues and recommend process improvements to minimize disputes or delays.
