Responsibilities & Context:

Responsible for:

  • Procurement of Goods and Services.

  • Procurement Data record keeping and reporting

  • Collaboration with internal and external stakeholders or sectors/CSUs

Activities:

  • Frequently, a market survey is conducted to obtain competitive price quotations.

  • Assist the requester in drafting specifications for all goods and services, and keep the PRs for the procurement action

  • Procurement in estimating costs and soliciting quotations/proposals in accordance with the organizational purchasing policies and procedures.

  • Hard Negotiation with suppliers.  

  • Assist in analyzing bid proposals received and submit for further review and approvals.

  • Prepare purchase orders and contracts, a comparative statement for purchasing goods and services

  • Ensure the placement of purchase orders on time and follow up for timely delivery of the items or service, and report as appropriate to the immediate supervisor and the requester on the status of the order.

  • Maintain all procurement files and vendor lists for goods and services.

  • Submit all the bills/invoices and vouchers along with all related documents to the Accounts department for payment.

  • Maintain an up-to-date Procurement Status Report.

  • Maintain all purchase-related trackers of PR, PO for smooth operations of the procurement & Supply department.

  • Ensure that the terms, quantity, quality, description, and condition of the goods or services are served as per the order.

  • Assist in the continuous enlistment of new potential vendors.

  • Explore the new materials in the market.

  • Field visit whenever required.

  • Any other task assigned by the supervisor/management.

Skill and Competencies:

Educational Qualification:    

  • Commerce Graduate with at least 02 years of working experience in the purchase department

Technical Competencies

  • Knowledge of procurement procedure.

  • Analytical & problem-solving ability.

  • Strong communication & negotiation skills.

  • Computer-skilled in MS Office and ERP

Behavioral Competencies

  • Deliver results under pressure.

  • Demonstrates integrity by modeling Friendship’s values and ethical standards.

  • Prioritize & deliver tasks on time.

  • Teamwork.
