Experience:

The Deputy Manager, Warehouse will oversee warehouse inventory and operations across assigned field clusters, ensuring compliance with organisational warehouse management policies and procedures. The role is responsible for maintaining inventory accuracy, timely delivery of goods, proper storage practices, and operational compliance through regular monitoring and inspections. The incumbent will coordinate with sector and unit teams to support project implementation and provide technical guidance and capacity building to Warehouse Officers to ensure efficient and effective warehouse operations.
Supervise and guide warehouse operations across assigned warehouse clusters, ensuring efficient inventory management and compliance with organisational policies and procedures
Ensure proper receipt, storage, preservation, and dispatch of inventory in accordance with warehouse and inventory management guidelines and operationalise IMS in BC
Conduct regular warehouse inspections and operational reviews to ensure inventory accuracy, proper documentation, and compliance with established standards
Monitor stock movement, material stacking, bin management, Goods Receipt Notes (GRN), delivery challans, and warehouse records to ensure accuracy and accountability
Oversee inventory control processes, including physical stock verification, cycle counts, reconciliation, and investigation of stock discrepancies
Review and approve warehouse documentation and gate pass requests to ensure authorised and timely dispatch of materials
Ensure timely availability and distribution of materials to support project implementation and operational requirements
Monitor warehouse management system data and manual records to ensure data integrity and accurate reporting
Identify operational risks, control weaknesses, and process gaps, and recommend corrective actions to strengthen warehouse performance and compliance
Analyse inventory trends and prepare reports on stock status, consumption patterns, dead stock, slow-moving items, and inventory optimisation opportunities
Lead initiatives to improve warehouse efficiency, storage utilisation, inventory accuracy, and service delivery
Coordinate transportation and logistics arrangements for material movement and ensure timely processing of related documentation and service provider invoices
Liaise with project teams, sector focal points, procurement, logistics, and finance teams to ensure effective coordination and uninterrupted warehouse operations
Ensure compliance with key management, safety and security protocols, asset protection measures, and organisational audit requirements
Support internal and external audits, donor compliance reviews, and inventory verification exercises by ensuring proper documentation and record maintenance
Develop periodic warehouse performance reports, dashboards, and management updates for informed decision-making
Contribute to the development, implementation, and continuous improvement of warehouse management policies, SOPs, and operational processes

Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation.
