Responsibilities & Context:

Computer Operations

·         Proficient in utilizing Artificial Intelligence (AI) tools, including ChatGPT and other Generative AI platforms, for office productivity and business support.

·         Ability to prepare, edit, summarize, and analyze documents, reports, correspondence, and presentations using AI-assisted technologies.

·         Knowledge of prompt writing and effective interaction with AI systems to generate accurate and relevant outputs.

·         Familiarity with AI-powered office automation, workflow optimization, and digital documentation management.

·         Understanding of data privacy, confidentiality, and ethical use of Artificial Intelligence applications.

·         Ability to conduct online research, information verification, and content development using AI-assisted tools.

·         Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and cloud-based collaboration platforms.

·         Knowledge of digital record management, database maintenance, and electronic document archiving.

·         Ability to adapt to emerging technologies and implement AI-driven solutions to improve operational efficiency.

Office Operations

  • Manage office correspondence, filing systems, and document control procedures.

  • Prepare official letters, memos, notices, reports, and other administrative documents.

  • Maintain records of attendance, leave, inventory, and office supplies.

  • Coordinate meetings, appointments, and office schedules.

  • Ensure proper maintenance of office equipment and facilities.

  • Monitor office stationery and consumables and arrange replenishment when necessary.

  • Support departmental and inter-departmental communication and coordination.

  • Assist management in implementing office policies and operational procedures.

Documentation & Record Management

  • Maintain physical and electronic records in an organized manner.

  • Ensure proper archiving and retrieval of documents.

  • Prepare periodic operational and administrative reports.
