• Minimum 5 years of experience in residential estate management, hospitality, luxury residence management, executive residence management, or hotel operations.
• Experience working with senior executives or VIP residences is preferred.• Strong leadership and supervisory skills.

1. Household Operations
• Ensure the residence is clean, organized, and maintained at all times.
• Supervise all daily household activities.
• Prepare daily work schedules for household staff.
• Conduct regular inspections to maintain quality standards.
2. Staff Management
• Supervise drivers, housekeepers, cleaners, cooks, gardeners, security personnel, and other support staff.
• Monitor attendance, punctuality, uniforms, grooming, and discipline.
• Assign daily duties and monitor performance.
• Train new employees on household procedures and service standards.
• Report disciplinary issues to HR/Admin.
3. Maintenance & Asset Management
• Coordinate preventive and corrective maintenance of the residence.
• Maintain records of household assets and equipment.
• Coordinate with contractors and service providers.
4. Inventory & Procurement
• Verify quality and quantity of delivered goods.
• Maintain inventory and consumption records.
5. Hospitality & Guest Management
• Ensure proper arrangements for guests and visitors.
• Coordinate meals, refreshments, accommodation, and transportation.
• Maintain high standards of hospitality during meetings and family events.
• Ensure VIP protocol is followed.
6. Safety & Security
• Ensure all safety and security procedures are followed.
• Monitor CCTV, access control, and visitor management.
• Report security incidents immediately.
• Ensure fire safety equipment is available and functional.
7. Administration & Reporting
• Submit daily operational reports to the Managing Director.
• Maintain records of maintenance, inventory, attendance, and visitor logs.
• Ensure all management instructions are implemented promptly.
8. Event & Family Support
• Coordinate family functions, meetings, and official gatherings at the residence.
• Arrange logistics, decorations, catering, and housekeeping support.
• Ensure smooth execution of all events.
9. Confidentiality
• Maintain complete confidentiality regarding the Managing Director, family members, guests, business matters, and household activities.
• Do not disclose confidential information to unauthorized persons.
11. Transportation & Fleet Management
• Supervise the maintenance and operational readiness of all vehicles assigned to the Managing Director's residence.
• Coordinate preventive maintenance, servicing, repairs, insurance renewals, fitness certificates, and vehicle documentation.
• Maintain comprehensive records of vehicle servicing, repairs, fuel consumption, and maintenance history.
• Conduct regular inspections to ensure vehicles are clean, safe, and in excellent operating condition.
• Coordinate daily driver schedules and vehicle movements based on the Managing Director's, family members', and official guests' requirements.
• Monitor driver attendance, duty rosters, overtime, leave, and compliance with organizational rules and traffic regulations.
• Ensure drivers accurately maintain vehicle movement logs, including departure time, return time, destination, purpose of travel, mileage, and fuel usage.
• Respond promptly to transportation requirements, emergencies, and last-minute schedule changes.
12. Billing, Documentation & Record Management
• Maintain a billing register for all household and vehicle-related expenses, including utilities, maintenance, repairs, fuel, consumables, subscriptions, and service contracts.
• Verify invoices, delivery notes, and supporting documents before submitting bills for approval.
• Ensure timely processing and submission of bills to the Finance and Accounts Department.• Maintain registers for inventory, assets, maintenance activities, vendor services, and petty cash expenditures.
• Prepare daily, weekly, and monthly operational reports covering household operations, vehicle utilization, staff attendance, maintenance status, and expenditure summaries.
• Maintain organized filing systems for all administrative records and ensure documentation is readily available for management review or audit.
