∎ iDE is an international NGO with over 40 years of experience in designing and delivering market-based anti-poverty programs in 10 countries. We are a world leader in making markets work for the poor as well as the longest established market development specialist NGO in Bangladesh. iDE believes that markets can be a powerful force for improving smallholder prosperity by creating income and livelihood opportunities for poor rural households. iDE Bangladesh currently has eight projects in Agricultural Markets, Water Sanitation and Hygiene (WASH) and Access to Finance with a focus on women`s economic empowerment and climate-smart technologies.
∎ The administration team of IDE Bangladesh is responsible for the smooth running of the overall administrative functions of the organization. A significant part of the team`s work involves providing day to day administrative support to Dhaka office, Field offices and Sub offices colleagues adhering compliance with iDE policies and procedures. As a team member of this Admin team the "Associate Officer-Admin" will be responsible for providing support in the various Administrative functions, which include Front Office management, Transport management, Store Management and provide necessary support to manage Admin & Office maintenance related tasks.
∎ Reporting Line : Manager- Admin
∎ Nature of Employment : Long term
Job Responsibilities:
∎ Supervision of front desk through support staff, keep front desk tidy and presentable with all necessary material
∎ Answer phone calls and respond positively. Respond to public inquiries (both outside and inside)
∎ Welcoming and assisting visitors in a friendly and professional manner.
∎ Receive letters, packages etc. and distribute them and maintain track record accordingly
∎ Prepare courier service bill monthly
∎ Liaise with the different section of the office
∎ Provide word processing and secretarial support when required
∎ Provide aid in different queries for vendors
∎ Vehicle- fleet management for Dhaka (day to day driver duty allocation, updating vehicle docs), Direct supervision of Dhaka drivers.
∎ Process fuel expenses and tracking of personal usage of iDE vehicle, driver's bill to finance
∎ Process monthly payment for all rental vehicle for both Dhaka and Field offices.
∎ Managing motorcycle management for all iDE locations by maintain a track sheet as well as repair maintenance log info
∎ Prepare incident report of vehicle accident and take necessary action accordingly
∎ Air ticket billing process (ticketing, comparative statement to select the right ticket option, payment process etc.)
∎ Provide quarterly report to Manager-Admin regarding maintenance costs of all iDE vehicle
∎ Store management
∎ Responsible for first aid medicine report quarterly and prepare a PR for next quarter
∎ Any task provided by supervisor in relevance with position and Department
Additional Requirements:
∎ At least 1-year relevant experience; Work experience in INGO is preferred
∎ Good analytical and problem-solving skills
∎ Ability to work under pressure, hardworking, self-motivated and team player
∎ Ability to work with various national and international team members and flexibility to adapt different work conditions
∎ Ability to interact and collaborate with a broad range of people
∎ Excellent verbal, written, and interpersonal communication skills
∎ Good time management and organizational skills
∎ Proficiency in Microsoft Office and google platform
∎ Willingness to travel within and outside Dhaka city; preferable to have valid M/C driving license
