Responsibilities & Context:
  1. Procure medical, surgical, pharmaceutical, and non-medical items as per departmental requirements and approved policies.

  2. Maintain adequate inventory levels and ensure uninterrupted availability of essential supplies for all hospital departments.

  3. Prepare and process purchase requisitions, requests for quotations (RFQ), comparative statements, purchase orders, and related procurement documents.

  4. Source and evaluate suppliers, negotiate prices, delivery schedules, and payment terms to ensure cost-effective procurement.

  5. Coordinate with user departments, vendors, and management regarding supply requirements, delivery status, and procurement plans.

  6. Monitor stock movement, consumption patterns, expiry dates, and reorder levels to minimize shortages and wastage.

  7. Ensure timely receipt, inspection, and verification of purchased goods in coordination with the store and user departments.

  8. Maintain accurate records of procurement transactions, supplier databases, contracts, and inventory reports.

  9. Conduct regular market surveys to identify new products, suppliers, and cost-saving opportunities.

  10. Ensure compliance with hospital policies, regulatory requirements, and quality standards during procurement and supply chain operations.

  11. Assist in annual budgeting, demand forecasting, and procurement planning for hospital supplies and equipment.

  12. Coordinate with finance and accounts departments regarding bill verification, vendor payments, and reconciliation.

  13. Monitor the performance of suppliers and take necessary actions to improve service quality and delivery efficiency.

  14. Generate periodic reports on procurement activities, inventory status, cost savings, and supply chain performance for management review.

  15. Supervise and guide supply chain/store personnel and perform any other duties assigned by the Head of Supply Chain and Management from time to time.
