Additional Requirements:
  • Age 24 to 32 years
  • Minimum 2/3 years of relevant professional experience in administrative, secretarial, executive assistance, or coordination roles.

  • Experience working with senior management, preferably in an NGO/development organization, will be an added advantage.

  • Candidates with experience as Executive Assistant, Administrative Assistant, Management Assistant, Executive Secretary, or Personal Assistant to senior management are encouraged to apply.

  • Excellent written and verbal communication skills in both Bangla and English.

  • Excellent drafting, documentation, and report-writing skills.

  • Good command of MS Word, MS Excel, MS PowerPoint, email, internet, and online communication tools.

  • Strong organizational and time-management skills.

  • Ability to prioritize multiple assignments and work under pressure.

  • Strong interpersonal, coordination, and problem-solving skills.

  • High level of integrity, professionalism, discretion, and confidentiality.

  • Ability to maintain effective communication with personnel at different levels of the organization.

  • Willingness to work beyond regular office hours when required for official assignments.



Responsibilities & Context:

Job Context: National Development Programme (NDP) is a national-level development organization working for sustainable socio-economic development, poverty reduction, and community empowerment. NDP is looking for a competent, organized, and proactive professional for the position of Administrative Assistant to the Director (Administration & Operation).

The incumbent will provide comprehensive administrative, coordination, documentation, communication, and operational support to the Director (Administration & Operation). The position requires excellent organizational ability, confidentiality, communication skills, and the capacity to coordinate effectively with different departments, programmes, projects, field offices, and external stakeholders.

Job Summary

The Administrative Assistant will provide day-to-day administrative and secretarial support to the Director (Administration & Operation) to facilitate effective decision-making and smooth organizational operations. The incumbent will be responsible for managing correspondence, schedules, meetings, records, reports, follow-up actions, official communications, and coordination with relevant departments. S/he will maintain confidentiality of sensitive information and ensure timely follow-up and implementation of decisions and instructions issued by the Director.

Key Responsibilities

Provide day-to-day administrative and secretarial support to the Director (Administration & Operation).

Manage the Director's schedule, appointments, meetings, and official engagements.

Receive, organize, prioritize, and follow up on official correspondence, letters, emails, notes, and documents.

Prepare draft letters, office notes, memos, meeting agendas, minutes, notices, and other official documents as required.

Maintain proper filing, documentation, and record-keeping systems, including confidential and sensitive documents.

Prepare meeting schedules, communicate with participants, arrange necessary logistics, and maintain meeting records.

Record and follow up on decisions, action points, and instructions of the Director to ensure timely implementation.

Coordinate with different departments, programmes, projects, branch/field offices, and relevant personnel on behalf of the Director.

Assist in preparing presentations, reports, statements, briefing notes, and other management documents.

Collect, compile, and organize information and data required by the Director for review and decision-making.

Monitor pending matters and provide timely reminders and follow-up to concerned personnel.

Maintain confidentiality and ensure proper handling of sensitive organizational and personnel-related information.

Assist in organizing official visits, workshops, conferences, training, and other events attended or chaired by the Director.

Maintain a systematic database/register of incoming and outgoing correspondence, meetings, decisions, and follow-up actions.

Provide administrative support for inter-departmental coordination and organizational events.

Perform any other administrative or coordination-related duties assigned by the Director or higher management.



Job Other Benifits:
    • Post Probation Salary will be Tk. 24,000-26,000/- monthly;

    • Others benefits admissible as per NDP HR Policy.

    • Salary will be negotiable for exceptionally qualified and highly experienced candidates.
