Responsibilities & Context:

Administration:        

  • Coordinate and supervise office facilities and assets·        
  • Inventory management and requisition for new requirements besides food, groceries, and toiletries for office·        
  • Ensure office cleanliness, manage - repair & maintenance, new installations, replacements, relocation of assets, and asset tagging·        
  • Ensure to maintain a productive office environment with plant decorations, implement new requirements, and follow up ·        
  • Managing office assistant daily·        
  • Source new store/office extensions when and as required· Led purchase-to-pay process for all purchases including quotation collections, comparative analysis, price negotiation, seeking approvals, and implementation·        
  • Seamless administration and dissemination of employee ID cards, Vcard, medical cards, welcome packs, and stationery allocation, assist in bank account opening and providing gifts to employees·        
  • Ensure smooth office external and internal events management·        Manage, plan, and allocate office and rented cars. Ensure compliance with office-owned cars including on-time renewal of Car AIT, Car tax token, and car fitness·
  • Manage business trips for local and international employees including the issuance of invitation letters, hotel & air-ticket purchases, protocol management, etc.       
  • Manage on time all relevant agreements and renewals including Liaison office permission extension·        
  • Administrative communication with the team and management through email and messaging apps.
  • Human Resource:       
  • Assist in the recruitment, onboarding, and payroll process·        
  • Coordinate and support the employee training program, workshops, and professional development opportunities·        
  • Assist with employee inquiries regarding HR policies, benefits, and other HR-related issues. Promote a positive and inclusive work environment by supporting HR initiatives·        
  • Ensure legal compliance with legal authorities when and as required·        HR communication with the team and management through email and messaging apps·        
  • Any other responsibilities as assigned by management. Key requirements & experience·
