Additional Requirements:
∎ At least 4 years’ experience in logistics & admin, preferably in providing programme support in NGOs/INGO. Excellent understanding of office administration, logistics and secretarial functions. Experiences in office management and support related activities. Experience with USAID funding is a plus.
∎ Excellent organisational skills.
∎ Good interpersonal communication skills in Bangla and English.
∎ Good time management skills and ability to prioritise under pressure.
∎ Fluent in the use of Word, Excel & PowerPoint programs in Bangla and in English.
∎ Able to balance the demands of a large team in different sites and to set boundaries.

Responsibilities & Context:
∎ Assist COP in managing work schedule/meeting schedules; make telephone appointments and provide secretarial support.
∎ Assist COP to develop/edit/format documents and prepare materials for meetings.
∎ Ensure proper filing of program documentation
∎ Translate Bangla correspondence into English.
∎ Arrange travel and other logistic support needed for COP and other managers/directors/team leads
∎ Prepare expense reports and purchase request forms
∎ Organise and coordinate workshops, training and meeting-prepare budget, organise venues, send invitations, and provide logistic support during the workshop
∎ Coordinate with accounting, procurement, communications and other teams/units to ensure coordination and collaboration in provision of operational support.
∎ Provide logistical support to consultants and staff, including travel arrangements, vehicle arrangement, hotel booking, paperwork for passports/visas, etc.
∎ Track consulting contracts
∎ Perform other related duties as may be assigned.
∎ ROLE
∎ This position is Dhaka-based and is mainly responsible for providing efficient secretarial, administrative, including logistics and vehicles support, budget and overall programme operations support to the COP and other HICRA staff of Dhaka and field offices of the USAID-funded HICRA project. Major responsibilities include filing, taking notes/minutes, preparing procurement requests, facilitating information between field offices, tracking consultant contracts, managing COP’s calendar, travel arrangements and related logistics, and providing support for consultants, events, meetings, and international staff or high-level visits.
