Responsibilities & Context:

Position Summary

The Accounts Assistant will be a key member of the Finance Team, responsible for maintaining high-quality financial records, ensuring procedural compliance, and supporting the day-to-day fiscal operations of the organization. This role requires a high degree of integrity, numerical accuracy and an understanding of NGO-specific financial regulations.

Key Responsibilities

  • Financial Documentation: Maintain and manage books of accounts (Cash Book, General Ledger) in strict compliance with Income Tax, VAT regulations and NGO Affairs Bureau guidelines.

  • Transaction Management: Process, verify and input daily financial data into the accounting system with 100% accuracy.

  • Banking & Payroll: Execute all banking transactions and assist in the preparation of monthly salary sheets and timely disbursement of staff benefits.

  • Compliance & Reconciliation: Perform regular bank reconciliations and ensure all expenditures are backed by proper approvals and supporting vouchers.

  • Audit Readiness: Support internal and external audit processes by organizing financial documents and addressing auditor queries promptly.

  • Budgeting Assistance: Assist in the preparation of project-wise budgets and financial reports for donors and the NGO Affairs Bureau.

  • Asset, Inventory & Stock Control: Monitor stock management processes and maintain updated registers for fixed assets and consumables.

  • Reporting: Generate monthly financial statements and variance reports for management review to ensure goal alignment.
