Job Context:
∎ Overall objective:
∎ Ensures the effective Cash and Advance management of UKHIA Office
∎ Ensuring the compliance of HI financial procedures Tools and policies
∎ Ensure the proper filing and archiving the documents as per HI procedures
∎ Support to Finance team as per the requirement as much as possible
∎ Accounts Assistant reports directly to the Field Coordinator with the strong technical link with Finance Manager
∎ Impact of the role to the organization: Implementation and follow-up on the financial rules and procedure
∎ Key interfaces: Finance Department in Cox’s site
∎ Duration: up to December 2020

Job Responsibilities:
∎ Objective 1: Ensure the cash available and payment on time
∎ Ensure cash availability as per need as well as the requirement
∎ Ensure the cash payment on time with ensuring the compliance HI procedure;
∎ End of the day cash close and cash in hand keep in the locker as per cash book;
∎ Ensure the validity and conformity of expenditure supporting documents ( contracts, orders, invoices, delivery orders, etc.) and check accounting codes are noted on payment authorization form;
∎ Monthly cash close end of the month and make cash certificate
∎ Objective 2: Ensuring the advance payment and monitoring with log sheet
∎ Ensure the advance payment with valid PSR as per requirement
∎ Day to day monitoring the advance with the log sheet
∎ Communicate with them who will have due advance
∎ Check a third part accounts during a monthly closure and send a notification to the employees who did not comply.
∎ Objective 3: Ensure the VAT and Tax and others as per govt. rule as well as HI procedure
∎ Check and ensure VAT and Tax deduction from the invoice as per Govt. rule
∎ Ensure the travel per diem and accommodation as per HI policy and procedure
∎ Ensure VAT and Tax deposit to the bank with Govt. Challan copy and a copy sent to the authorities office as per their requirement
∎ Objective 4: Keep update the Accountancy
∎ Day to Day update the Cash and Bank ledger with Daily transaction sheet
∎ Weekly cash close with the Cash certificate and validate with the line manager
∎ Day to day update the accountancy with the accounting system
∎ Record and validate the supporting documents ( exhaustiveness, guarantee the translation of documents and their validity);
∎ Regularly encoding and registering accounting documents in the financial software;
∎ Ensure regular scanning of accounting documents as a preparation for the monthly closures;
∎ Objective 5: Documents filling and archiving as per HI procedure
∎ Day to day update the accounting documents including payments documents
∎ Ensure scanning monthly accountancy documents and send to COXB
∎ Ensure filling the Monthly accountancy documents after scanning as an archive
∎ Objective 6: Support the Finance Manager and Finance Coordinator with respect to monthly accounts closure as well as year closure for Cox’s Bazar site
∎ In Collaboration with Finance team assist for closing the monthly accounts as well as year closure to Finance Manager and/ or Finance Coordinator.

Additional Requirements:
∎ Age 25 to 65 years
∎ At least 2 years' experience in accounting work
∎ Excellent communications skills both in Bangla and English
∎ Computer literacy

Salary: Tk. 36000 - 39000 (Monthly)

Presently HI Bangladesh is implementing projects on integrating disability in community based disaster risk reduction and response; economic empowerment of extreme poor persons with disabilities; mainstreaming disability in livelihood interventions; support to refugees and surrounding communities;, capacity building of professional associations; and support to Disabled People`s Organizations; among others.”
