Job Context:
∎ CWFD emerged from an emotional response to help women in need of reproductive health care counseling. The organization, originally named as "Concerned Women for Family Planning (CWFP), started its voluntary activities in 1974 to help the refugee coming to Dhaka city after the devastating famine of 1974. The organization was registered in 1975 with Directorate of Social welfare and formally launched its project activities in 1976 with only 5 female staff to cover an area of Dhaka city slum comprising around 50,000 people. ∎ Project background: Concerned Women for Family Development will receive funds from United Nations Population Fund (UNFPA) to implement Generation Breakthrough Project: Phase-II `Improving the Sexual and Reproductive Health and Rights including Maternal, Newborn and Adolescent Health in Bangladesh (ImSRHRMNAH,B)`. This project aims to address gender- based violence (GBV) in Bangladesh by establishing linkages to adolescents` sexual and reproductive health and rights (SRHR) and gender equity, with a focus on engaging boys and improving relationship building skills. As a part of delivering adolescent friendly health services, `Improving Sexual and Reproductive Health and Rights including maternal and new born health in Bangladesh` project will create linkage for tele-counseling and referral services to different service providers on sexual and reproductive health and gender-based violence. The primary target groups of this helpline and adolescent friendly health service are adolescents aged 10-19 years.
∎ Similarly, CWFD working with UNFPA for the national humanitarian response, the A&Y programme unit of UNFPA is receive funds from New Zealand (NZA28) for the Rohingya refugee response, were included to initiate the implementation of the "Expanding the Generation Breakthrough Programme for Rohingya Adolescents and Youth in the context of the Myanmar Curriculum Pilot" namely the contextualization, adaptation, and translation for the Rohingya refugee context of the two SRHR related board games developed as part of the Generation Breakthrough.

∎ Job Duration: Up to 31 December 2021 and may be extended depending on availability of fund.
∎ Job Summary: The Accounts & Administrative Assistant is responsible for implementation of planned activities of `Strengthening Sexual and Reproductive Health and Rights and Gender-based Violence Services in the Host Community of Cox`s Bazar` Project and current project activities such as maintaining general accounts, administrative activities in the assigned area of operation and to provide support to Technical Officers, Field Manager and other concern officials under the project. He/ She will provide support to maintain coordination with respective bank, service providers of the operational areas.
∎ The Accounts & Administrative Assistant will work under the direct supervision of the Field Manager of the project. The incumbent is responsible for ensuring the implementation of quality program interventions. The Accounts & Administrative Assistant will maintain coordination and liaison with all the project stakeholders.

Job Responsibilities:
∎ Data Entry in Excel (Material Receive, Issue Etc.)
∎ Program wise Material Issue & Uses report
∎ Monthly physical inventory (Included department wise work in progress, finished goods & material)
∎ Besides above, time to time special assignment as a when required basis
∎ Good communication skill both on Bengali & English
∎ Record of financial/accounting data on time.
∎ Writing of cheque and maintenance of cheque books.
∎ Maintains project Financials and accounting files.
∎ Reviews all kind of invoices and ensure all documents are following project policies and prepare the relevant voucher for payment
∎ Before any payment make sure expenses are allowable, approved properly before processing, verifying documentation, have enough supporting documents, and appropriate exchange rate and cash management in place
∎ Maintenance of Bank Register and Cash Book
∎ Preparation of petty cash vouchers and maintenance of petty cash register
∎ Prepare salary, benefit and honoraria sheet/register and submit it to bank with necessary instructions
∎ Ensure payments are made after fulfilling of all the required formalities
∎ Ensure safe custody of the cash in hand and cheque books of the office
∎ Reimburse travel expenses and per diem bills to the project office staff
∎ Collect and reconcile bank statements as and when required
∎ Ensure that each and every staff duly sign salary and benefit register and honoraria sheet
∎ Procurement and Stock Maintenance
∎ Maintain the staff movement register for all the project office staff
∎ Maintain both Consumable and Fixed Asset Register
∎ Maintain personal files and records of all staff
∎ Arrange procurement as per procurement policy and budget provision
∎ Assist Field Manager in preparing required reports and documentation
∎ Record all correspondence received in register on a regular basis
∎ Carry out other related duties as and when assigned by the Field Manager

Additional Requirements:
∎ At least 1 year of working experience in accounts position is preferable .. The position is fixed for both female and male candidates. Also need the following requirement for the desire candidate:
∎ Willingly travel in the project areas when needed.
∎ Demonstrate active listening.
∎ Demonstrate good communication skills.
∎ Demonstrate empathy.
∎ Ability to set boundaries.
∎ Ability to think critically.
∎ Ability to handle pressure.
∎ Must have Practical Knowledge on MS Word, MS Excel, MS Access Database, Email, Internet Browsing & Power Point.
∎ Line of responsibility: The Accounts & Administrative Assistant is directly reportable to the Field Manager of Cox's Bazar Field Office.

Salary:
∎ BDT 40,000/- per month (including all other benefits).
