Responsibilities & Context:

1. Stock Management and Documentation

  • Goods receive, inspect, and record all incoming and outgaining materials, tools, and equipment in coordination with the Logistics Manager.

  • Preparing Receiving Note (RN) upon receiving of goods and maintain proper stock register.

  • All the POs, Challan and RN file maintain properly.

  • Monitor the quality and quantity of products upon receipt; set aside any non-compliant or damaged items and report to the WASH Programme Manager.

  • Maintain up-to-date stock register book, BIN Card and using approved tools such as excel sheets or store management software.

  • Daily basis accurately updates bin cards, stock register book, and other inventory control documents for all stored items.

  • Prepare, record, and file Stock Issue Requests (SIR) properly, ensuring all movements are authorized and documented.

  • Maintain both hard copies and online/email records of receipts, dispatches, and returns in compliance with Tdh standards.

  • Participate in monthly and periodic physical stock counts, reconciliations, and reporting to the WASH Programme Manager and Logistics Manager.


2. Storage and Quality Control

  • Organize and label items systematically to ensure easy identification and tracking.

  • Regularly monitor the condition of stored goods, with special attention to expiry dates and product quality.

  • Ensure that returned tools and equipment are cleaned and checked before being re-stored.

  • Maintain clean, ventilated, and pest-free storage conditions, applying treatment promptly upon any sign of infestation.

  • Report any damages, leaks, or storage-related safety issues to the WASH Programme Manager and Logistics Manager.

  • Prepare and update Assets list when receive any Assets from the Logistics department or suppliers.


3. Infrastructure and Safety

  • Monitor the physical condition of the storage facilities and recommend necessary repairs or maintenance.

  • Implement and follow safety procedures to prevent fire, flooding, and other hazards.

  • Supervise cleaning, disinfection, and pest control of the storage areas as required.

  • Monitor Fire Alam, Fire Extinguisher, Fire Blanket and Fire ball well functioning.


4. Coordination and Reporting

  • When required, supervise daily workers assigned to store-related activities.

  • Provide timely daily, weekly, monthly, and ad-hoc stock reports to the WASH Programme Manager.

  • Keep the WASH Programme Manager regularly informed about stock levels, material movements, and any discrepancies.

  • Support the Logistics Manager in maintaining transparent and auditable store management practices.

  • Contribute to improving store management systems and processes to enhance efficiency and accountability.


Other Responsibilities

  • Perform any other related tasks assigned by the WASH Programme Manager as needed for project implementation.

  • Ensure adherence to Tdh’s Code of Conduct, safety, and operational policies at all times.
