∎ We are looking for an enthusiastic Logistics professional as Supply Chain Assistant to join our Logistics department ensuing HI ROOT structure at Dhaka and provide support to help achieve HI goals.
∎ You will have administrative duties in developing and implementing Logistics strategies.
∎ You will collaborate with our logistics team in all stages of ensuring compliances. Your insightful contribution will help develop, expand and maintain our logistics channels.
∎ This employment engagement will help you acquire logistics skills and provide you with knowledge of various logistics strategies. Ultimately, you will gain broad experience in logistics and should be prepared to enter any fast paced work environment.
∎ Mission: Under the chain of Logistics department (from capital level) the Supply Chain Assistant will ensure Procurement tasks on daily basis and assigned job in coordination with Programme Logistics Manager and logistics team at Dhaka and site offices for the smooth-running of the programme in compliance with Handicap International`s internal regulations.
∎ Base location: Dhaka (with field visit as when required)
∎ Report to: Programme Logistics Manager
∎ Contract Duration: 1 year (with possibility of extension)
∎ Start date: on or before March 1, 2020.
Job Responsibilities:
∎ Ensure smooth Supply chain work procurement, stock to deliver
∎ Assist procurement tasks for the mission as assigned and delegated.
∎ Update and archiving files for new purchase, repair/maintenance work with PSR
∎ Assist Dhaka and Site Supply Chain officer/Log officers with concern of Programme Log manager per HI guideline.
∎ Prepare bills for Rental car, check with GS officer and report to Programme Log Manager and budget manager for finalization/validation.
∎ Prepare monthly PSRMC and stock Report in case of Sr. Supply chain officer's absence
∎ Maintain Contract Follow up chart for Framework, Lease, consultancy, work, service, supplies, etc.
∎ Hotel booking following TR
∎ Travel ticket purchase following TR
∎ Prepare the bill for hotel and travel agent regular basis and make the report monthly basis to PLM.
∎ Direct Purchase and cash purchase.
∎ Preparation and assist for tender /call for interest process.
∎ Writing meeting minutes from Logistics end at the time of supplier evaluation process.
∎ Prepare contract in case of Sr. supply chain officer absence
∎ Perform as required to keep updates supplies,
∎ Stock management and reporting.
∎ Assist to ensure maintenance purchase of all equipment including vehicle/motorbikes with coordination of GS officers (Dhaka, site offices).
∎ Others regular job:
∎ Receive and check the supplier's delivery slip based on the Purchase Order, prepares the reception form if need and Internal delivery note when required.
∎ Prepare Commitment Authorization for payment for all purchase file on time and close the file.
∎ Bill follow up chart preparation, update and report regular basis.
∎ Prepare Commitment Authorization for utilities bills, office/house rent, and facilities bills after checking from GS Officer/Assistant and validation from PLM.
∎ Report on regular basis of payment status.
∎ Prepare incident report in case of any incident for supply chain issues.
∎ Perform as backup Sr. supply chain officer in absence of Sr. Supply chain officer.
∎ Coordinate with Project team, Finance and PMs at for regular activities.
∎ Regular basis update monitoring tools and report to Programme Logistics Manager at country office.
∎ Any other tasks as assigned by Line manager.
Additional Requirements:
∎ 1-2 years in the procurement or relevant field with international organization/ INGOs.
∎ Fresh Graduates can apply on conditional basis.
∎ Communication: Able to autonomous
∎ English: Fluent in written and verbal
∎ Computer skills : Must be excellent in; MS Excel, Word, PowerPoint, E-mail communication.
∎ Organizational skills: Ability to organize and provide prompt and timely supports, Hardworking, Able to take the challenges in any situation with positive approach, Able to adapt the policy procedures quickly. Professionally candidate must be decent, honest and loyal, willing to travel anywhere in Bangladesh when required.
∎ Candidates must be capable of displaying great learning agility, support and encourage knowledge sharing across team.
Salary:
∎ Salary and grade scale: O1-C1 to O1-C3 Attractive remuneration package will be offered to the deserving person based on experience.
