Job Context:
∎ PROGRAM OVERVIEW: With the support from UNFPA, Jhpiego is implementing the project "Achieving Universal Access to SRHR to Host Communities of Cox`s Bazar" in collaboration with DGFP, DGHS and DGNM to enhance national capacity to increase demand for and supply of Family Planning (FP) information and services in 6 upazilas of Cox`s Bazar district. There will be three overarching areas of focus, strengthening facilities to provide services, capacitating providers, and creating demand for family planning.
∎ The project will basically support to implement national family planning program with quality service delivery of all FP methods at community, union, Upazila, and district levels. This will include tracking uninterrupted availability of supplies and commodities through ELMIS, capacity building of FP service providers on clinical skills. Aiming to improve quality services in health facilities, this project will ensure application of basic infection prevention measures, improving effectiveness of counseling, and compliance with clinical standards of service delivery.
Job Responsibilities:
∎ Under direct supervision of District Manager this position will be responsible for providing financial, administrative and high quality secretarial support to the project team for ensuring smooth facilitation of program activities. Other responsibilities include-
∎ Conduct monitoring visit with health and family planning authorities in project catchment areas to ensure selected facilities are adequately set up to provide PPFP services
∎ Facilitate review meetings with community health workers, immunization providers and their supervisors to review progress, exchange learnings and resolve challenges as needed
∎ Prepare budget and expenditure statement for program related multiple events
∎ Assist district manager for drafting program related letters, memos, notices etc.
∎ Arrange in-house and outside meetings, workshops, seminars and trainings
∎ Provide all types logistic support to ensure smooth operation of the program
∎ Coordinate with country office admin, finance and procurement team on a regular basis for effective program delivery adhering compliance
∎ Provide necessary support to the Country Office Procurement team for local level purchase
∎ Maintain close relationship with the local level heath & family planning key Government Officials, other agencies and relevant partners to establish effective and functional cooperation
∎ Assist in developing formal partnership with relevant sectors as per need indentified.
∎ Make field visits, if needed to provide necessary administrative/operational/technical assistance as per program need
∎ Assist Country office M & E team for both qualitative and quantitative data collection
∎ Support to district manager for distributing different materials/ logistics at upazila/ field level.
∎ Ensure appropriate documentation and on time reporting of project activities
Additional Requirements:
∎ At least 5-6 years' experience of working in public health programs on which at least 2-3 years' experience in administrative and secretarial services
∎ Sound understanding on health service delivery systems and relevant logistic support
∎ Excellent skills on dealing with local people/beneficiaries/authorities.
∎ Ability to work comfortably with district and upazila level government authorities
∎ Good interpersonal and communication skills as well as ability to work with others are highly required
∎ Ability to work under pressure and adequate skills on budget preparation, documentation and report preparation
∎ Proficiency in MS Word, MS Excel, Power point and interpersonal communication skill
∎ Willingness to travel frequently by using public transport
