Responsibilities & Context: BACKGROUND OF GONOSHASTHAYA KENDRA AND THE PROJECT:
Gonoshasthaya Kendra (GK) is a National NGO. GK registered as a Public Charitable Trust in 1972 and started with two visions (a) “the fate of the poor decides the fate of the country, and (b) “development of the country depends on development of women.”
GK is managing 43 health centers in 19 districts, two hospitals of 250 beds, the largest dialysis center in Bangladesh, where 100 people can be treated simultaneously. GK is running one University, Medical College, Dental College, Medical Technical School, Pharmaceutical Industry and a Vocational training school providing short, long and customized courses for distressed women. GK has awarded numerous national and international awards for its work on health and disaster response.
Gonoshasthaya Kendra Bangladesh and its partner Malteser International are two humanitarian organizations in Bangladesh that have been working on emergency programs since September 2017, post-emergency and development. GK is currently implementing a project funded by the German Federal Foreign Office and Malteser International (MI) of “Improving the health and nutritional situation of refugees in Cox's Bazaar and contributing to the peaceful coexistence of refugee and host communities”. The goal of this project is to improve the health, nutrition, and psychosocial status of refugees while assisting host communities through health education in community level.
Overall responsibilities:
Under the supervision of Clinic Manager, the Pharmacist will be responsible for the following key activities:
- Drug dispensing & proper counselling of the patients.
- Implementing an effective stock card & BIN card management.
- Trend analysis biweekly.
- Preparation of requisition & receiving of supplied medicines accordingly.
- Capacity builds up all staff regarding the adverse effects, abuse, and overuse of medicine.
- Record all related information & reporting on a daily basis, Collection, computerization, and analysis of drug consumption tools.
- Before receiving any medicine, proper expiration date of expired
- Implementing a quality drug supply chain system
- Updating dashboard on a daily basis, Organized a physical inventory in facility level on regular basis.
- Create a pharmacy with appropriate storage, receiving and packing space and allowing to conduct a full medical inventory
- Organize the drugs storage according to international standards (route of administration, alphabetical order of International Non-proprieraty Name, FEFO principle, clear labeling with INN + dosage + pharmaceutical form + expiry date)
- Organize drugs and medical supplies for easy distribution and appropriate stock movement records
- Organize a monthly Physical inventory & provide the stock balance at the end of each month to GK
- Monitor temperature of the pharmacy on a daily basis.
- Any other tasks assigned from supervisor and higher management.
Reception and preparation of orders:
Order reception:
- Check quantities and quality of the received items
- Make out an acknowledgement of receipt
- Integrate all the items into physical stock
- Fill in the stock cards for all the items as the electronic file (Excel)
Order preparation:
- Prepare and distribute the drugs according the field requests and projects needs.
- Check the rationality of the requests.
- Pack supply requests from the supported facilities in a timely way.
- Update the stock cards and the electronic file according to the stock movements.
- Do a feedback to Clinic Manager in case of any problem with the orders.
Implementing a quality drugs supply system in line with national and international standards:
- Participate in analysis of needs, preparation of regular forecasts, calculation of replenishment orders and buffer stocks and initiating timely procurement of medical supplies.
- Anticipate needs for medical supplies and alert’s soon as the buffer stock will be used.
Collection, computerization and analysis of drugs consumption:
- Ensure that updated stock and consumption records can be provided upon request for any reporting.
- Assist in development and implementation of drug consumption tools in supported clinics.
- Collect the drugs consumption data and do the computerization to ensure their analysis.
- Monitor the drugs consumption by establishing/maintaining mechanisms of consumption record and inform Project Coordinator in case of any unusual consumption
Support to GK-MI Primary Health centre and Health Post:
- Collaborate closely with and build the capacities of paramedics / dispensers of supported clinics
- Upon request, organize trainings on drug prescription and drug rationalisation for medical staff
- Help to assess needs in supported clinics to drugs storage and dispensation. Propose and fulfill any necessary changes required
Reporting and attendance to different meetings:
- Prepare weekly activities report to submit to Project Coordinator
- Compile and archive drug consumptions per month and per PHC and HP
- Participate in a pro-active way to different meetings.
