Job Responsibilities for P.S to Higher Authority
Maintaining all appointments and meeting schedules of the Higher Authority and updating him regularly.
Contact with all stakeholders/communications on behalf of Higher Authority through email, phone call, and other social media.
Screening and taking note from all telephone/mobile calls of the Higher Authority and conveying information.
Concocting and publicizing different business letters to different overseas and local concerns as per directions of Higher Authority.
Dealing with Embassy.
Preparing meeting minutes and other secretarial notes on different issues concerned with the Higher Authority for the Group of companies.
Following-up actions on pending important issues.
Reminding the manager/executive of important tasks and deadlines.
Accompanying Higher Authority in the time of visiting different establishments and taking notes.
Notifying Higher Authority on upcoming events and formulating necessary arrangements.
Maintaining confidential Papers, files, and agreements.
Communicate with concerned Govt. and non-Govt. organizations for any documentation purpose.
Maintaining and updating a database for all communication of Higher Authority.
Arranging protocol service, visa, air ticket booking, hotel reservation-related activities of Higher Authority according to pre-schedule.
Any other secretarial tasks are relevant to this role given by Higher Authority.
