  • Excellent proficiency in Microsoft Office (Professional Level) — including Word, Excel, PowerPoint, Outlook, and data management tools.

  • Expert in Email Communication — skilled in drafting, organizing, and managing professional emails, including business correspondence with local and international clients.

  • Strong English Communication Skills — both written and verbal, capable of handling corporate and overseas communication confidently.

  • Administrative & Secretarial Skills — scheduling, documentation, filing, meeting coordination, and maintaining confidential records.

  • Time Management & Multitasking — ability to manage the Managing Director’s schedule, prioritize tasks, and handle multiple responsibilities efficiently.

  • Interpersonal & Coordination Skills — able to communicate effectively with internal departments, overseas agencies, embassies, and clients.

  • Document Preparation & Reporting — skilled in drafting letters, preparing reports, maintaining logs, and organizing business documents.

  • Professional Etiquette & Confidentiality — capable of handling sensitive information with discretion and maintaining high standards of professionalism.

  • Problem-Solving Ability — handles unexpected situations calmly and provides effective support to management.

  • Basic Financial Handling — ability to manage petty cash, prepare expense statements, and assist with accounts coordination.



Responsibilities & Context:

Executive & Administrative Support

  • Manage and organize the MD’s daily schedule, appointments, and meeting calendar.
  • Arrange local and international travel, hotel bookings, and itinerary planning.
  • Prepare, review, and manage confidential documents, reports, contracts, and presentations.
  • Draft and edit official letters, emails, memos, and business correspondence on behalf of the MD.

Communication & Coordination

  • Act as the primary point of contact between the MD and internal departments, clients, overseas partners, and government offices.
  • Coordinate communication with foreign employers, recruiting agencies, training centers, and embassy officials.
  • Receive and screen phone calls, visitors, and inquiries; prioritize issues and provide timely follow-up.

Recruitment & Documentation Support

  • Assist in preparing and processing recruitment documents such as demand letters, power of attorney, employment contracts, and visa papers.
  • Ensure compliance with BMET, MOFA, and relevant government regulations.
  • Maintain updated records of candidate pipelines, visa status, project progress, and overseas approvals.

Operational & Project Support

  • Monitor manpower project timelines and provide regular status reports to the MD.
  • Coordinate interview arrangements, candidate screening schedules, and logistical support.
  • Track critical deadlines, renewal dates, and compliance requirements related to recruitment operations.

Office & Financial Assistance

  • Manage filing systems (digital and physical) ensuring confidentiality and quick access.
  • Handle petty cash, prepare expense statements, and support invoice follow-up with accounts.
  • Assist the MD with procurement coordination or vendor dealings when necessary.

Confidentiality & Professional Conduct

  • Maintain strict confidentiality regarding business strategies, financial data, and personal matters.
  • Represent the MD professionally in meetings or communications when assigned.
  • Uphold company reputation through disciplined, ethical, and professional behavior.

Personal Assistance (As Required)

  • Assist the MD with personal tasks such as event planning, personal travel, and other errands.
  • Provide flexible support during urgent work situations outside regular office hours.
