Responsibilities & Context:

The job holder is primarily responsible for overall administrative support, stationery procurement, raising purchase orders for non-inventory procurement, and housekeeping of the Head Office.

Job Responsibilities:

  • Responsible for the entire procurement lifecycle of non-inventory items, stationery, and accessories across all Agora establishments. This includes generating purchase orders, tracking timely deliveries, and meticulously maintaining all procurement records and files within SAP.
  • Oversee the preparation and timely distribution of all essential documents and communications, including Goods Receipt Notes (GRNs) and other critical paperwork, to all Agora establishments.
  • Provide comprehensive support in the preparation and development of the annual business plan.
  • Facilitate the provision of essential employee services, which include employee ID cards, business cards, name tags, uniforms, and stationery.
  • Develop and maintain support staff rosters, assign duties, and manage leave schedules efficiently.
  • Vendor management involves thorough market research and evaluating quotations to bring in new, high-quality vendors. This also involves actively negotiating and nurturing relationships with all vendors.
  • Process and disburse holiday allowances to all outlets on time.
  • Ensure the Head Office maintains exceptional standards of hygiene and cleanliness, and effectively manages all housekeeping operations.
  • Oversee canteen operations and manage the support staff effectively.
  • Organize meeting of the Admin and security department and check & verify the pool car conveyances and other payments of the support staffs as per policy.
  • Keeping all records and files of the Administration department.
  • Train & develop support staff concerning grooming & etiquette.
