Responsibilities & Context:

Your job cannot be limited but includes the following:

  1. Supervise and execute all administrative duties as and when required, in accordance with the instructions and needs of the Head of Administration.

  2. Manage and maintain canteen facilities, ensuring cleanliness and efficient service.

  3. Oversee the management and maintenance of refreshment areas, ensuring they are well-stocked and clean.

  4. Coordinate and manage monthly feast arrangements, including procurement, setup, and maintenance.

  5. Arrange and maintain refreshments for monthly managers' meetings, ensuring they run smoothly.

  6. Coordinate and manage food arrangements for board meetings, ensuring the availability of food and refreshments.

  7. Procure stationery and other items as needed through requisition and maintain records of purchases.

  8. Organize and maintain the filing and documentation of all administrative documents.

  9. Supervise office cleanliness and overall maintenance, ensuring a pleasant and efficient working environment.

  10. Prepare and maintain an overtime sheet for all subordinates on a monthly basis.

  11. Payment of monthly sales center rent by collecting money from the accounts department.

  12. Collect cheques related to the various projects and submit them to the accounts department.

  13. Maintain liaisons with various government offices, such as the Department of Environment (DOE) and other government agencies, for compliance with administrative requirements.

  14. Handle outside paperwork as needed to support the smooth operation of the company.

  15. Ensure the maintenance of utility services and address any issues promptly.

  16. Collect quotations, prepare comparison statements, and submit final work orders as per management decisions, based on requisitions from different departments.

  17. Work with potential suppliers to negotiate prices and ensure their commitment to the company's needs.

  18. Manage repair and maintenance tasks related to plumbing and electrical systems within the corporate office.

  19. Perform any other tasks or responsibilities as assigned by the Management.
