∎ University of Dhaka,Jahangirnagar University,BRAC University,United International University students will get preference
∎ Preferred Professional Certification: Computer Basic,software course,communication
∎ Training/Trade Course: Leadership,Team Building,Report Writing
∎ Skills Required: Admin, Office Management, Secretary

Experience Requirements:
∎ 3 to 5 year(s)
∎ The applicants should have experience in the following area(s): At least 1 year NGO experience, Office Management, Secretary, Supply Chain Management and Procurement
∎ The applicants should have experience in the following business area(s): NGO

Job Responsibilities:
∎ Job responsibilities of Office Manager
∎ Office Management:
∎ Reach office before 9:00 AM.
∎ Provide logistic support for day to day operation of the DUS Head Office.
∎ Keep track of office equipment maintenance (if needed).
∎ Communication and Coordination:
∎ A. Communication through Digital Media
∎ Check mail of Executive Director and reply based on instructions provide by ED.
∎ Check emails of the organization and link the mails which are associated to program coordinator or accounts department or field level to their respective emails.
∎ Check emails from Donor Organizations and take necessary steps with instructions from ED.
∎ Collect meeting schedules from the emails and writing them on the board, inform associated members as well.
∎ B. Telephone Communication:
∎ As directed by ED or for the requirement purposes of Chief Finance Coordinator and Coordinator HR & Admin, exchange information with Regional office, Foundation Office and Field level employees.
∎ Take necessary steps to collect reports from Regional, Foundation Office and Field level employees.
∎ C. Coordination with Different Offices:
∎ Donor Organizations: PKSF, National & International Donor Agencies
∎ Partner Organizations: ADAB, NIRAPAD, BRAC, Unicef, Oxfam, BBC Action Media, John Hopkins University, BNNRC, BCRA, GIZ, Water Aid etc.
∎ Government Organizations: DSS, NGO Bureau Office, MRA, MOF, BTRC, BRTA
∎ Different Banks etc
∎ Visitor Management:
∎ Receive guests at the Head Office and make necessary sitting arrangements and organize official entertainment.
∎ Complete appointments and make necessary arrangements for the guests arriving at the head office.
∎ Discuss the weekly task schedule with ED and execute secretariat tasks.
∎ Documentation and Stock Management:
∎ Coordinate official letters in the register in Head Office and distribute them to the respective receivers.
∎ Preserve different reports, letters etc in the designated files and disperse them at 9am daily to ED's desk file.
∎ Collect applications, letters or other official papers, documents from Regional Office, Foundation Office and Branch Area Office. Also include them in the receive register and present those sealed papers to associated members.
∎ Store everything in their designated files.
∎ Donor Organization
∎ Send documents, keep copies of those documents.
∎ Send applications and official documents to field level employees and also preserve them.
∎ Keep track of the files at the Head Office and update them regularly.
∎ Include all items/goods in stock register and keep truck of dispatched items/goods.
∎ Mess Management:
∎ Manage a mess for the running staff at the Head Office.
∎ Take opinions from other office staff and choose a menu every day.
∎ Take charge of the existing peon, cook and manage them.
∎ Involve/manage to purchase mess materials and present food at the appropriate time.
∎ Event Management:
∎ Organize meeting/workshop/training/seminar as directed by concerned authority.
∎ Organize site events/programs as per the direction of Management.
∎ Logistic and Procurement:
∎ Collect and Preserve different official stationary.
∎ Collect quotation for buying office equipment/necessary goods/stationery items and compare market prices in person.
∎ Other:
∎ Include yourself with assignment work as well.

Additional Requirements:
∎ Age 25 to 30 years
∎ Both males and females are allowed to apply
∎ S/he should be fluent in both Bengali & English and should be able to communicate through digital media (Zoom Link, Messenger, Webinar, WhatsApp, Twitter, Facebook, LinkedIn etc.);
