Responsibilities & Context:

A reputed real estate company is looking for a competent, proactive and experienced professional to join our team as Manager/AGM – Administration (General Administration, Transport & Security). The incumbent will be responsible for managing the company's day-to-day general administrative operations, transport management, facility support and security functions across corporate offices and project sites. The position requires strong leadership, coordination, problem-solving, vendor management and operational skills, with the ability to ensure smooth administrative support to employees and business operations.

 

Key Responsibilities:

General Administration

  • Manage and oversee day-to-day general administrative activities of the corporate office and assigned project locations.

  • Ensure smooth operation and maintenance of office facilities, utilities, housekeeping, reception, pantry, office supplies and other administrative services.

  • Develop and implement administrative policies, procedures, SOPs and systems to improve operational efficiency.

  • Monitor office premises, facilities, equipment, furniture, fixtures and other administrative assets.

  • Coordinate maintenance, repair, renovation, utility and other facility-related requirements.

  • Manage administrative vendors and service providers and ensure timely and quality delivery of services.

  • Monitor administrative expenses and ensure effective utilization of resources within approved budgets.

  • Maintain proper records, registers, documents and reports related to administrative activities.

  • Coordinate with HR, Accounts, Procurement, Projects, Construction and other departments regarding administrative requirements.

  • Handle office logistics, stationery, printing, courier, postal and other general support services.

 

Transport Management

  • Manage the company's overall transport operations, including official vehicles, pool cars and other assigned vehicles.

  • Prepare and monitor vehicle schedules, routes, duty rosters and transportation plans according to business requirements.

  • Ensure vehicles are properly maintained, serviced and available for official use.

  • Monitor vehicle fitness, registration, insurance, tax token, route permits and other relevant documents.

  • Maintain proper records of fuel consumption, mileage, maintenance, repair, driver attendance and vehicle utilization.

  • Supervise drivers and ensure compliance with company policies, safety standards, duty schedules and professional conduct.

  • Monitor fuel usage and identify opportunities to control unnecessary transportation costs.

  • Coordinate transportation arrangements for management, employees, visitors, meetings, events and official assignments.

  • Manage vehicle repair and maintenance vendors, workshops and other transport-related service providers.

  • Take appropriate measures to ensure safe, efficient and cost-effective transportation services.

 

Security Management

  • Oversee security arrangements for corporate offices, project sites, construction sites, warehouses and other company premises.

  • Supervise security supervisors, guards and outsourced security service providers.

  • Prepare and monitor security duty rosters, deployment plans and shift schedules.

  • Ensure proper implementation of access-control procedures for employees, visitors, contractors, vehicles and materials.

  • Monitor CCTV surveillance and other security systems and ensure timely action on identified issues.

  • Conduct regular security inspections and identify potential risks and vulnerabilities.

  • Maintain proper security logs, incident reports, visitor records and other relevant documentation.

  • Investigate and report security incidents such as theft, unauthorized access, loss of property, conflicts, or other irregularities.

  • Coordinate with local law enforcement agencies, fire service and other relevant authorities when required.

  • Ensure appropriate emergency response, evacuation, and fire-safety procedures are maintained across company premises and project locations.

 

Team & Operational Management

  • Develop duty plans and ensure effective manpower utilization.

  • Train and guide team members regarding company policies, service standards, safety, discipline and emergency procedures.

  • Ensure timely resolution of administrative, transport and security-related issues raised by employees and management.

  • Prepare regular reports and updates for Management regarding administrative operations, transportation, security, expenses, incidents and other relevant matters.

  • Perform any other duties and responsibilities assigned by Management from time to time.
